Recruiting Coordinator

The Recruiting Coordinator performs experienced-level recruiting coordination across multiple requisitions and hiring activities, including interview scheduling, candidate correspondence, recruiting administration, and applicant tracking. This role applies established talent acquisition procedures to coordinate detailed hiring activities, resolve scheduling and process issues, and maintain accurate recruiting records.

Working cross-functionally with talent acquisition, human resources, and other applicable departments, this role serves as an experienced resource for recruiting coordination, hiring process administration, and operational improvements that support timely, consistent, and effective recruiting operations.

JOB DUTIES AND RESPONSIBILITIES

Recruiting Operations & Coordination

• Coordinate interview schedules, candidate travel, recruiting logistics, and hiring activities across multiple requisitions and hiring teams.
• Resolve scheduling conflicts and routine recruiting process issues while coordinating adjustments that support hiring timelines.
• Monitor recruiting activities and follow up on outstanding actions to support timely and consistent process completion.

Recruiting Administration

• Administer assigned requisition activities, including job postings, candidate tracking, recruiting documentation, and Applicant Tracking System (ATS) updates.
• Coordinate offer administration, pre-employment activities, and onboarding transitions while maintaining accurate candidate and requisition records.
• Review recruiting records and activities for completeness and adherence to established procedures, documentation requirements, and applicable hiring practices.

Talent Acquisition Operations

• Support recruiting reporting, data management, process administration, and hiring events that contribute to effective talent acquisition operations.
• Identify recruiting process issues and recommend practical improvements to scheduling, candidate administration, documentation, and recruiting workflows.
• Support implementation of recruiting process improvements and operational enhancements that strengthen efficiency and candidate experience.

Recruiting Team Support

• Provide guidance to recruiters, hiring teams, and less-experienced coordinators on established recruiting coordination processes and procedures.
• Respond to recruiting process questions and resolve routine coordination issues, escalating matters outside established procedures as appropriate.
• Maintain productive relationships with candidates and internal stakeholders to support consistent communication and an organized recruiting experience

JOB REQUIREMENTS AND MINIMUM QUALIFICATIONS

• Associate degree, formal occupational training, or professional certification in human resources, business administration, or a related field. 3-5 years of related experience in recruiting coordination, recruiting operations, talent acquisition administration, scheduling, or related support functions.
• Strong knowledge of recruiting coordination, recruiting administration, talent acquisition processes, and hiring workflows.
• Understanding of Applicant Tracking System (ATS) concepts, requisition workflows, candidate status tracking, dispositioning, and recruiting data requirements.
• Applied knowledge of interview scheduling, offer administration, pre-employment activities, candidate records, and onboarding transitions.
• Practical understanding of recruiting compliance, candidate documentation, recordkeeping, confidentiality, and established hiring procedures.
• Proficiency in evaluating recruiting workflows, scheduling conflicts, and process issues to identify appropriate solutions within established procedures.
• Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and Teams.
• Applicant Tracking Systems (ATS) such as Greenhouse, Lever, Workday Recruiting, iCIMS, or similar platforms.
• Scheduling, workflow management, and collaboration tools.

PREFERRED EXPERIENCE

• Passion for the space industry.
• Experience working in a start-up or small company.
• Experience at high-tech companies.
