Job Title: Legal Recruiting Admin
Company: Law Firm
Location: New York City, in office 3-5 days per week
Pay Rate: $25-40/hour
Contract: 5 months

 

Job Summary & Objectives

The Legal Recruiting Administrative Assistant supports the Legal Recruiting team in all aspects of candidate management and recruiting operations.

Primary responsibilities include maintaining candidate records within the recruiting database, coordinating candidate communications, supporting scheduling efforts, assisting with interview logistics, and providing administrative support for summer associate programs and other recruiting initiatives.

The position requires strong organizational skills and attention to detail. The position will require overtime hours.

Essential Job Duties & Responsibilities

Candidate Management

  • Enter resume information for all candidates into the recruiting database.
  • Prepare invite/reject letters for OCI interviewer signatures.
  • Update candidate status information as it changes in the recruiting database.
  • Enter all write-in resumes received into the recruiting database.
  • Update Managers on new files entered into Vi at the end of each day.
  • Work with Manager on candidate decisions, including: Invite for interview, Reject, On hold, Other candidate status decisions
  • Prepare responses to candidates by merging records from the recruiting database and reviewing letters before printing to add any additional information needed, such as attorney names or prior contact.
  • Update files with transcripts and new resumes when needed and reply to students to confirm receipt.
  • Maintain the candidate database, including checking applications to ensure all data is entered correctly.

In-Office Support

  • Walk candidates to interviews.
  • Support schedulers and update the attorney availability chart.
  • Schedule candidates as needed.

Miscellaneous

  • Assist with updating summer assignment status.
  • Support Manager with summer associate onboarding.
  • Flag for Manager when offer calls have not been completed.
  • Perform additional duties upon request.

Education

Required

  • Bachelor's degree preferred or equivalent administrative experience.

Preferred

  • Prior experience in legal recruiting, professional services, higher education, human resources, or a related field.

  • Strong organizational and administrative skills with exceptional attention to detail.

  • Flexibility to work overtime.

Preferred

  • Experience working with recruiting databases or applicant tracking systems.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Previous legal recruiting or professional services experience.

Physical Demands

Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time, though walking and standing may be required occasionally.

  • Sitting: Remaining in a seated position for sustained periods of time.
  • Standing: Remaining upright on the feet for periods of time.
  • Walking: Moving throughout the office to escort candidates and support recruiting activities.
  • Reaching/Lifting/Carrying: Handling recruiting materials and documents as needed.

Work Environment

The worker is not substantially exposed to adverse environmental conditions. Work is performed in a typical office environment with standard lighting, temperature, and working conditions.
