Description

ITS is seeking a Records Management Specialist in Columbus, OH.

This is a full-time position with benefits offered!

The Records Management Specialist/Archivist supports the organization's records management efforts by administering and maintaining records retention policies and schedules relating to physical and electronic records. The role will advance institutional priorities relating to the continued maintenance of enterprise records. The role will support the collection, classification, retention, storage, retrieval, preservation, transfer, and disposition of enterprise records in accordance with company policies, contractual obligations, regulatory requirements, and approved records retention schedules.

Responsibilities

  • Administer and maintain records management programs for physical and electronic records, including enterprise records repositories, file rooms, archival collections, and onsite or offsite storage locations.
  • Collect, classify, index, store, retrieve, transfer, and dispose of enterprise records in accordance with company policies and schedules.
  • Develop, implement, and maintain records management processes and procedures.
  • Ensure compliance with safety, regulatory, and operational requirements.
  • Coordinate with records storage and destruction vendors, as needed, and maintain related documentation of inventories, transfers, or destruction approvals.
  • Provide training regarding records retention practices to peers.

  • Recommend and implement process improvements to enhance the efficiency and accessibility of records management operations.
  • Collaborate with operational and business units to support consistent records handling practices throughout the organization.
  • Take on increasing responsibility for records assessments, compliance reviews, training, and cross-functional records management support, including identifying opportunities for improvement.

Key Qualifications

  • Bachelor's degree in Library Science, Information Science, Archives Management, Records Management, Information Governance, History, Business Administration, or a related field; five years of successful experience in records management, archives administration, library services, information governance, information management, document control, or a related discipline; or an equivalent combination of education and experience.
  • Experience administering records retention schedules, records disposition programs, enterprise content management systems, and records storage operations.
  • Solid understanding of records lifecycle management principles, archival preservation practices, records classification methodologies, and information governance concepts.
  • Proficiency with Microsoft Office and electronic records management, content management, or information management systems.
  • Strong organizational, analytical, project management, communication, initiative, and attention-to-detail skills.
  • May require experience performing work under relevant parts of the Code of Federal Regulations or other applicable regulatory requirements.
