Records Management Associate

Location: Meriden, CT
Employment Type: Contract
Work Arrangement: 100% Onsite
Schedule: Monday–Friday | 8:30 AM–5:00 PM
Pay Rate: $18.00–$20.00 per hour

Position Overview

Wheeler Staffing Partners is seeking a detail-oriented and dependable Records Management Associate for a contract opportunity in Meriden, CT. This position supports daily mail processing, records management, document handling, and administrative operations in a fast-paced office environment.

The ideal candidate is highly organized, comfortable working with confidential customer information, and able to accurately manage a variety of clerical and document processing responsibilities. Prior experience in a mailroom, administrative, records management, or document processing environment is preferred.

Key Responsibilities

Mail & Document Processing

  • Receive, open, sort, and process incoming mail and correspondence.

  • Log incoming mail and documents into internal systems accurately and promptly.

  • Process certified mail and prepare documents for scanning and electronic filing.

  • Sort and route documentation to the appropriate departments or team members.

  • Maintain accurate records and ensure documents are properly tracked throughout the process.

Records Management & Data Entry

  • Update borrower mailing addresses in MSP based on address change notifications received from USPS.

  • Perform accurate data entry and maintain electronic and physical records.

  • Scan, file, organize, and manage documents according to established procedures.

  • Verify information for accuracy and resolve basic documentation discrepancies.

  • Maintain strict confidentiality when handling personal and financial information.

Administrative Support

  • Perform general clerical duties, including typing, filing, emailing, scanning, and document management.

  • Assist with outbound calls to borrowers, as needed, to verify or update mailing address information.

  • Operate standard office equipment, including scanners, copiers, fax machines, and multi-line telephone systems.

  • Support daily team objectives and assist with additional administrative duties as assigned.

  • Manage multiple priorities while maintaining accuracy and meeting established deadlines.

Required Qualifications

  • High school diploma or equivalent.

  • Strong attention to detail and organizational skills.

  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.

  • Ability to accurately perform data entry and document processing tasks.

  • Excellent written and verbal communication skills.

  • Ability to work independently, prioritize responsibilities, and manage time effectively.

  • Ability to maintain confidentiality and responsibly handle sensitive customer information.

  • Ability to work effectively in a team-oriented environment.

  • Ability to remain focused and productive while managing multiple priorities.

  • Comfortable working under pressure and meeting deadlines in a fast-paced environment.

  • Ability to lift and handle mail boxes weighing approximately 20–25 pounds.

Preferred Qualifications

  • Previous mailroom, administrative, clerical, records management, or document processing experience.

  • Experience working with scanners, copiers, fax machines, and multi-line telephone systems.

  • Experience with MSP or similar mortgage servicing systems is a plus.

  • Previous experience handling customer or borrower records is a plus.

Work Schedule & Environment

  • Monday through Friday.

  • 8:30 AM–5:00 PM with a 30-minute lunch.

  • This position is 100% onsite in Meriden, CT.

  • Employees are required to report to the office Monday through Friday.

  • Remote work is not available for this position.
