    Description

    InterDent is seeking a highly organized and detail-oriented Records Management Assistant to support the organization in maintaining accurate, accessible, and properly organized records. The successful candidate will assist with filing, indexing, scanning, updating, retrieving, and archiving documents while ensuring records are handled according to established procedures.
    This position may support a remote work arrangement depending on business requirements. The Records Management Assistant will work with teams across the organization to maintain reliable documentation, respond to authorized record requests, identify discrepancies, and protect confidential information.
    Key Responsibilities

    • Organize, maintain, and update electronic and physical records.
    • Scan, upload, index, classify, and archive documents according to established procedures.
    • Review records for accuracy, completeness, and proper filing.
    • Retrieve documents and records in response to authorized requests.
    • Maintain document indexes, tracking logs, and records inventories.
    • Identify duplicate, incomplete, outdated, or incorrectly filed records and coordinate corrections.
    • Assist with records retention, archiving, and document-disposal activities.
    • Enter and update information in databases and document-management systems.
    • Maintain confidentiality when handling patient, employee, financial, and company information.
    • Assist departments with document retrieval, verification, and administrative requests.
    • Prepare routine reports related to records and document-management activities.
    • Communicate effectively with remote and onsite team members.
    • Follow company policies regarding information security, records retention, and document management.

    Requirements

    • High school diploma or equivalent required; associate degree preferred.
    • Previous experience in records management, document control, administrative support, data entry, or a related field.
    • Excellent organizational skills and attention to detail.
    • Strong data-entry and document-management abilities.
    • Proficiency with Microsoft Word, Excel, Outlook, and electronic filing systems.
    • Ability to manage multiple assignments and meet deadlines.
    • Strong written and verbal communication skills.
    • Ability to handle confidential information responsibly.
    • Ability to work independently in a remote environment when applicable.
    • Strong commitment to accuracy and data integrity.

    Bonus Points

    • Experience working in healthcare, dental, insurance, or another regulated environment.
    • Familiarity with electronic health records or dental practice-management systems.
    • Knowledge of HIPAA and healthcare information privacy practices.
    • Experience with document-management, scanning, indexing, or digital-archiving platforms.
    • Familiarity with records retention and information-governance procedures.
    • Advanced Microsoft Excel skills.
    • Previous experience supporting remote or geographically distributed teams.
