Job Description

Maintain and organize physical and electronic client files across multiple office locations. Create new client and matter files, including file setup and document organization. Process file requests, retrievals, and transfers from off-site storage facilities. Scan, index, and upload documents to the firm's records management system. Update client and matter records, including name changes and file maintenance. Respond to records-related requests from attorneys and staff in a timely manner. Assist with file room organization, inventory management, and records retention projects. Maintain accurate digital records and support ongoing document management initiatives. Provide administrative support for records, reception, and office services functions as needed. Travel between office locations when required to support records management operations.

The Successful Applicant

A successful Records Assistant and Digital Specialist should have: 1+ year of experience in records management, document control, or administrative support. Strong organizational skills with exceptional attention to detail. Excellent verbal and written communication skills. Proficiency in Microsoft Office, including Outlook, Word, and Excel. Ability to prioritize multiple tasks and manage deadlines effectively. Experience working with document management systems; iManage experience is a plus. Ability to work independently while collaborating effectively with a team. Strong problem-solving skills and a proactive approach to supporting attorneys and staff. Willingness to handle both physical and electronic records management responsibilities. Ability to lift files and boxes and travel between office locations as needed.
