Description
- Maintain and organize physical and electronic client files across multiple office locations.
- Create new client and matter files, including file setup and document organization.
- Process file requests, retrievals, and transfers from off-site storage facilities.
- Scan, index, and upload documents to the firm's records management system.
- Update client and matter records, including name changes and file maintenance.
- Respond to records-related requests from attorneys and staff in a timely manner.
- Assist with file room organization, inventory management, and records retention projects.
- Maintain accurate digital records and support ongoing document management initiatives.
- Provide administrative support for records, reception, and office services functions as needed.
- Travel between office locations when required to support records management operations.
Profile
A successful Records Assistant and Digital Specialist should have:
- 1+ year of experience in records management, document control, or administrative support.
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Ability to prioritize multiple tasks and manage deadlines effectively.
- Experience working with document management systems; iManage experience is a plus.
- Ability to work independently while collaborating effectively with a team.
- Strong problem-solving skills and a proactive approach to supporting attorneys and staff.
- Willingness to handle both physical and electronic records management responsibilities.
- Ability to lift files and boxes and travel between office locations as needed.
