    Records & Compliance Administrator

    About the Role

    Manage organizational records and data in compliance with DOE directives, the Code of Federal Regulations (CFR), and NARA Federal Records requirements. Oversee record-keeping policies, document control, and information retrieval.

    Location: West Valley, NY

    What You'll Need

    Education & Experience:
    • Bachelor's in Business Administration, Records Management, Information Management, or equivalent experience
    • 6–8 years in records management or document control (grade-dependent)
    Skills:
    • Microsoft 365 and records management software proficiency
    • Knowledge of DOE directives, CFR, NARA, NQA-1, and NIRMA guidelines
    Competencies:
    • Strong organizational, analytical, and communication skills
    • Sound judgment managing multiple compliance priorities
    Preferred:
    • Certificate in Records and Information Management

    What You'll Do

    • Maintain records file plans and disposition schedules per CFR and Prime Contract requirements
    • Lead records/document control projects
    • Train staff on records systems and procedures
    • Handle EEOICPA, FOIA/PA, and other confidential program records
    • Track department contracts, requisitions, and deliverables
    • Conduct audits per DOE, NARA, and NQA-1 standards; track corrective actions
    • Manage electronic document systems and provide technical guidance
    • Liaise with internal/external stakeholders on compliance matters
    • Uphold safety protocols, ISMS/Conduct of Operations, and code of conduct standards
    • Preserve high-value records, including waste production and storage records

    Core Functions

    • Apply DOE, CFR, NARA, and NIRMA requirements to daily work
    • Assess regulatory changes and their operational impact
    • Mentor records team members
    • Communicate procedures across all staff levels
    • Drive process improvements
    • Manage competing deadlines independently

    Attendance

    • Regular in-person attendance required
