    Role Summary


    The Receiving Specialist is responsible for ensuring all inbound shipments are accurately received, documented, and entered into the WMS. This role validates POs and ASNs, confirms counts, records discrepancies, applies labeling, and ensures every item and pallet is processed correctly before putaway.


    As the accuracy checkpoint between the dock and the warehouse, the Receiving Specialist plays a critical role in preventing downstream inventory issues. This position requires strong attention to detail, reliable documentation, and consistent communication with both the Dock Lead and Inventory teams.


    Core Responsibilities


    1. WMS Receiving & Documentation

    Process all inbound shipments in the WMS (ShipHero), ensuring accurate entry of quantities, SKUs, lot numbers, and case/pallet details.

    Validate POs, ASNs, and manifests, confirming that system expectations match physical goods.

    Create and apply barcodes, pallet labels, and SKU labels as required.

    Maintain clean, accurate receiving paperwork and digital audit trails.

    Follow all documentation SOPs including changing statuses in Shiphero and uploading supporting documentation to Shiphero and or Slack.


    2. Accuracy Verification

    Count units, cases, and pallets to confirm inbound quantities.

    Identify and document damages, shortages, overages, or mismatches.

    Flag discrepancies for the Inbound Manager or Inventory Manager immediately.

    Ensure no product moves to stocking before receiving is fully completed in the system.


    3. Coordination With Dock & Stocking Teams

    Work closely with the Dock Lead to organize staging lanes and prioritize shipments.

    Communicate readiness for putaway to stockers and turret drivers.

    Support smooth handoff between receiving and putaway teams.


    4. Client & SKU Integrity

    Verify new SKUs for correct setup (dimensions, weight, barcode, packaging).

    Track client-specific receiving requirements and apply correct SOPs.

    Communicate receiving notes or issues to Account Management when required.


    5. Returns & Special Handling

    Process Returns Checkin, quarantined products, or special client-return instructions when needed.

    Document any inventory that requires isolation or additional QC.


    6. Safety & Organization

    Maintain clean and organized receiving lanes.

    Follow all equipment and dock safety protocols.

    Ensure all pallets staged for putaway meet safety and labeling standards.

    Ideal Candidate Profile

    1–2+ years warehouse or receiving experience (3PL preferred).

    Strong attention to detail and accuracy under pressure.

    Comfortable operating in WMS systems and managing documentation.

    Able to communicate clearly with dock, stocking, and inventory teams.

    Organized, reliable, and able to follow SOPs consistently.

    Familiar with labeling equipment, scanners, and basic warehouse processes.
