Position SummaryThe Receptionist / Front Office Administrator serves as the first point of contact for employees, visitors, customers, and business partners while providing administrative support across multiple departments. This position is responsible for creating a professional and welcoming environment, maintaining the day-to-day operation of the front office and common areas, coordinating office supplies and facilities support, assisting with company events, and providing administrative assistance to the Human Resources team and other departments as needed.Must be highly organized, dependable, customer-service oriented, and demonstrate exceptional follow-through, attention to detail, and the ability to manage multiple priorities with minimal supervision. Essential Duties and ResponsibilitiesReception & Visitor ManagementServe as the primary receptionist and first point of contact for all visitors, employees, vendors, and customers. Greet guests with a warm, courteous, and professional demeanor while creating a welcoming office environment. Manage visitor sign-in and sign-out procedures in accordance with company security policies. Verify visitor identification and issue visitor badges. Notify employees of arriving guests and coordinate visitor access. Answer, screen, and direct incoming telephone calls. Receive, sort, and distribute incoming mail and deliveries. Prepare outgoing shipments and coordinate courier services as needed. Office AdministrationMaintain a clean, organized, and professional reception area, conference rooms, break rooms, and other common areas. Coordinate conference room reservations and maintain meeting schedules. Ensure copier and printer stations remain stocked with paper and supplies and coordinate maintenance requests when necessary. Monitor office equipment and report service or repair needs. Manage office supply inventory across multiple company facilities. Order office, kitchen, janitorial, and break room supplies while maintaining appropriate inventory levels. Assist with filing, document preparation, data entry, scanning, copying, and other administrative tasks. Assist departments with administrative projects and special assignments. Event CoordinationCoordinate company meetings, employee appreciation events, holiday celebrations, lunches, training sessions, and other corporate events. Assist with event planning, vendor coordination, catering, decorations, logistics, and event setup/cleanup. Track event budgets and coordinate purchases as assigned. General ResponsibilitiesDrive between company locations when necessary to deliver supplies, assist with events, or complete assigned administrative tasks. Maintain confidentiality of sensitive company and employee information. Demonstrate excellent customer service and professionalism at all times. Perform other duties and special projects as assigned. Required QualificationsHigh school diploma or equivalent required.Minimum of 3 years of receptionist, office administration, executive assistant, or administrative support experience. Excellent verbal and written communication skills. Strong interpersonal and customer service skills. Exceptional organizational and time management abilities. Demonstrated ability to prioritize multiple assignments while meeting deadlines. Strong attention to detail and commitment to accuracy. Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams). Ability to maintain confidentiality and exercise sound judgment. Licenses and RequirementsValid driver's license with an acceptable driving record. Reliable personal transportation for travel between company locations as needed.
