Job Summary
We are seeking a professional, friendly, and dependable Receptionist / Administrative Assistant to support our financial services office. As the first point of contact for clients, visitors, and incoming communications, this role is essential to maintaining a welcoming, organized, and professional office environment. The ideal candidate will possess strong communication skills, attention to detail, and a commitment to exceptional customer service.
Key Responsibilities
Greet clients, visitors, and vendors in a courteous and professional manner
Answer, screen, and direct incoming phone calls promptly and accurately
Manage front desk operations, including visitor sign-in procedures
Schedule appointments and assist with calendar management as needed
Receive, sort, and distribute incoming mail, packages, and deliveries
Maintain a clean, organized, and professional reception area
Assist with administrative tasks including filing, scanning, data entry, and document preparation
Handle confidential and sensitive information with discretion
Provide general office support to staff and management as needed
Open and distribute mail and ensure timely delivery of correspondence
Required Qualifications

High school diploma or equivalent required
Minimum 6 months of receptionist, front desk, customer service, or administrative experience preferred
Basic proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
Strong verbal and written communication skills
Excellent customer service and interpersonal skills
Strong attention to detail and organizational abilities
Ability to manage multiple tasks in a fast-paced office environment
Ability to maintain confidentiality and exercise sound judgment
Preferred Qualifications
Experience working in a financial services, banking, insurance, or professional office environment
Strong multitasking and prioritization skills
