Position Summary

We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, manage front desk operations, and provide essential administrative support across various departments. Your proactive approach will help ensure smooth office operations, excellent customer service, and effective communication within the organization

Essential Duties and Responsibilities

  • Greet visitors professionally, direct them appropriately, and maintain a welcoming reception area.
  • Manage multi-line phone systems with courteous phone etiquette, screening and directing calls efficiently.
  • Handle incoming correspondence, emails, and inquiries with promptness and accuracy.
  • Perform data entry, filing, and document proofreading to support administrative functions.
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools.
  • Assist with office management tasks such as supply inventory, equipment maintenance, and organization of office spaces.
  • Support bookkeeping activities using QuickBooks or similar accounting software when needed.
  • Provide customer support by addressing inquiries promptly and professionally in person or via phone or email.

Education & Experience

  • Proven office management or administrative experience in a fast-paced environment.
  • Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software.
  • Experience with multi-line phone systems and excellent phone etiquette skills.
  • Familiarity with clerical tasks such as filing, proofreading, calendar management, and record keeping.
  • Previous experience as a dental or medical receptionist or personal assistant is a plus.
  • Demonstrated organizational skills with strong time management capabilities to prioritize tasks efficiently .
