DESCRIPTION
The Receptionist & Accounting Assistant serves as the first point of contact for residents, customers, vendors, and visitors, creating a welcoming and professional experience while supporting daily office operations. This role manages incoming communications, coordinates resident inquiries, tracks leads, and provides administrative and accounting support. The ideal candidate is highly organized, customer-service focused, and able to remain calm and professional in high-pressure or challenging interactions.
WORK EXPERIENCE AND REQUIREMENTS
Front Desk & Customer Service
Greet and direct visitors to the appropriate department or team member.
Answer, screen, and route incoming phone calls using a multi-line phone system.
Receive, document, and distribute messages accurately and promptly.
Manage incoming and outgoing mail and deliveries.
Maintain a clean, organized, and professional reception area.
Resident Relations
Receive and document resident questions, concerns, and maintenance requests.
Handle resident complaints with professionalism, empathy, and diplomacy.
De-escalate difficult or potentially hostile interactions while maintaining company policies and professionalism.
Route residential concerns to the appropriate department and follow up as necessary to ensure timely resolution.
Maintain accurate records of resident communications.
Lead Management
Receive and document new customer or resident leads.
Route leads to the appropriate department or team member for follow-up.
Maintain accurate lead logs and tracking information.
Ensure timely follow-up by tracking lead status and communication.
Administrative & Accounting Support
Provide administrative support to the accounting department as needed.
Assist with basic accounts payable/receivable tasks as assigned.
Scan, copy, file, and maintain organized electronic and paper records.
Prepare correspondence and assist with data entry.
Assist with special projects and general office tasks.
Order and maintain office supplies as assigned.
General Responsibilities

EDUCATION AND EXPERIENCE
High school diploma or GED required.
Previous receptionist, administrative assistant, customer service, or office experience preferred.
