Our client, a global real estate firm, is seeking a highly organized and personable Office Administrator to work on site in order to support the operations at their stunning new location in NYC Midtown West. This role offers a dynamic opportunity for individuals with strong interpersonal skills, a passion for real estate, and an interest in working in a fast-paced, luxury-focused environment.
Position Overview:
As the On-Site Office Admin, you will be the first point of contact for clients and guests, ensuring smooth day-to-day operations while assisting the sales team. You will gain hands-on experience in real estate administration, customer service, and office coordination, making this an excellent stepping stone for those interested in the industry.
Key Responsibilities:
  • Warmly greet and welcome guests, providing a professional and inviting atmosphere.
  • Coordinate property tours, prepare guests for appointments, and ensure a seamless client experience.
  • Handle inquiries (in-person, email, phone), provide follow-ups, and schedule appointments.
  • Maintain and update the client database with accuracy and efficiency.
  • Oversee minor operational tasks to keep the sales gallery and model residences in impeccable condition (e.g., coordinating flower deliveries, IT support, housekeeping).
  • Assist the sales team and project managers with administrative tasks and communication.
  • Provide general support to the Sales Director and broader team as needed.
Qualifications & Skills:
  • Prior experience in hospitality, retail, event planning, or office administration is preferred but not required real estate experience is a plus.
  • Strong interpersonal and communication skills (both verbal and written).
  • Excellent organizational abilities and keen attention to detail.
  • Ability to multitask and adapt to a fast-paced work environment.
  • Professional demeanor and reliability, with the ability to handle confidential information responsibly.
  • Availability during the required schedule (Monday Friday, 10 AM 6 PM).
