General Job Description:
We are seeking a highly organized and detail-oriented Data Processing Specialist to support our centralized purchasing operations. This position is responsible for processing requests, organizing data, preparing purchase orders, managing a shared email inbox, and maintaining accurate records for multiple locations throughout the state.
The ideal candidate is comfortable working with spreadsheets, handling high volumes of email communication, organizing information, and performing repetitive tasks with a strong focus on accuracy and efficiency.
Essential Responsibilities
- Process purchasing requests received through a shared email inbox
- Create and submit purchase orders to vendors
- Enter, update, and maintain accurate data in company systems and spreadsheets
- Review requests for completeness and accuracy
- Copy, transfer, and organize information from multiple sources
- Communicate with vendors regarding orders, pricing, and product availability
- Track order status and maintain documentation
- Organize electronic records and supporting documentation
- Identify and resolve data discrepancies when needed
- Assist with reporting and other administrative projects as assigned

- Strong data entry and administrative skills
- Proficiency with Microsoft Excel, Outlook, and other Microsoft Office applications
- Excellent attention to detail and accuracy
- Strong organizational and time management skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills
- Ability to work independently while contributing to a team environment
Preferred Qualifications
- Experience working with purchase orders, purchasing, procurement, or vendor communications
- Previous administrative, data entry, accounting support, or office coordination experience
- Experience working in shared inboxes and maintaining electronic records
- Intermediate Excel skills, including sorting, filtering, and basic formulas
