Responsibilities
The part-time Purchasing Assistant provides clerical and other support services in the purchasing department, including purchase orders, requisitions, maintaining files, and answering telephones.ESSENTIAL FUNCTIONS:1. Changes purchase orders in PeopleSoft for end user such as price, product information, contact information, and cancellation.2. Reviews, processes, distributes, and closes requisitions and purchase orders.3. Maintains purchasing documents, files, databases, and records (e.g. requests for proposal, bid files, contracts) for documentation and compliance with established policies and regulatory guidelines.4. Performs clerical task such as answering the telephones, scheduling, copying, faxing, and proofreading documents.5. Provides information and assistance on purchasing policies, procedures, and services.6. Obtains from vendors for requested commodities and services the ordering information, pricing, availability, and delivery date.7. Assists with opening, recording, and tabulating competitive solicitation responses from vendors.8. Performs other duties as may be required or assigned.REQUIRED QUALIFICATIONS:1. Graduation from an accredited high school or possession of an acceptable equivalency diploma.2. One year experience in an office environment.DESIRED QUALIFICATIONS:1. One year experience in purchasing.KNOWLEDGE, SKILLS & ABILITIES:1. Knowledge of purchasing practices and procedures.2. Knowledge of and ability to interpret College policies and procedures.3. Excellent Microsoft Office 365 skills (including Outlook, Word, Excel), and ability to become proficient in MS Teams.4. Ability to understand both oral and written instructions.5. Excellent verbal and written communication and interpersonal skills.6. Ability to plan and organize job responsibilities and priorities; ability to work independently.7. Ability to interact effectively and maintain good working relations with all levels of management, staff, and suppliers.8. Demonstrates a professional, courteous demeanor.9. Committed to working in a multi-cultural environment.WORK ENVIRONMENT and SPECIAL CONSIDERATIONS:1. Works in an office environment.2. Acceptable hearing and eyesight with or without correction.3. Extended periods of sitting, viewing a computer screen, and typing on a computer keyboard.4. Conditions of Employment
