LHH is proactively seeking a detail-oriented, organized, and proactive Purchasing Assistant to support one of our clients on a contract basis in the Houston area. This role is responsible for supporting procurement operations, processing purchase orders, coordinating with vendors, maintaining purchasing records, and helping ensure the timely acquisition of goods and services.

Role Summary
As a Purchasing Assistant, you will provide administrative and operational support to the procurement team by assisting with purchasing activities, vendor communications, inventory coordination, and record management. You will help ensure purchasing processes run efficiently while maintaining accuracy and compliance with company procedures. This role is ideal for someone who enjoys working with vendors, tracking orders, and supporting supply chain operations in a fast-paced environment.
Key Responsibilities
Purchase Order Management
- Create, process, and track purchase orders in a timely manner.
- Review purchasing requests for completeness and accuracy.
- Monitor open orders and follow up on delivery schedules.
- Maintain accurate purchasing records and documentation.
Vendor Coordination
- Communicate with vendors regarding pricing, product availability, order status, and delivery timelines.
- Request quotes and assist in vendor selection processes.
- Resolve routine vendor inquiries and discrepancies.
- Maintain positive working relationships with suppliers and service providers.
Procurement Support
- Assist buyers and procurement teams with daily purchasing activities.
- Support sourcing efforts for materials, supplies, equipment, and services.
- Verify pricing, quantities, and invoice details against purchase orders.
- Ensure procurement activities comply with company policies and procedures.
Inventory & Supply Management
- Monitor inventory levels and assist with replenishment activities.
- Coordinate with internal departments regarding purchasing needs.
- Track incoming shipments and delivery schedules.
- Help ensure adequate stock levels to support business operations.
Data Entry & Reporting
- Enter purchasing data into ERP or procurement systems.
- Maintain vendor records and purchasing databases.
- Generate reports related to purchasing activity, spending, and order status.
- Assist with audits and records management as needed.
Cross-Functional Collaboration
- Partner with Operations, Accounting, Warehouse, and Supply Chain teams.
- Assist with resolving receiving, invoicing, and payment issues.
- Support special procurement projects and process improvement initiatives.
- Provide administrative support to the purchasing department as needed.
Qualifications
Education
- High school diploma or GED required.
- Associate's or Bachelor's degree in Business, Supply Chain, Logistics, or a related field preferred.
Experience
- 1-3+ years of purchasing, procurement, supply chain, inventory, or administrative experience.
- Experience processing purchase orders and working with vendors preferred.
- Manufacturing, distribution, construction, or industrial industry experience is a plus.
Technical Skills
- Proficiency in Microsoft Office Suite, particularly Excel.
- Experience with ERP systems such as SAP, Oracle, Microsoft Dynamics, NetSuite, or similar platforms preferred.
- Strong data entry and recordkeeping abilities.
- Familiarity with procurement software and purchasing workflows.
