Job Description
We are seeking a Publishing Operations Manager to join our dynamic team at client's Global Publishing. The ideal candidate will have strong experience in publishing, entertainment, media, talent management, or related operational environments and a proven ability to build and manage operational processes across contracts, invoices, payments, and cross-functional workflows.
Work Hours and Environment:
On-site, full time. Monday to Friday, 9:00 a.m. to 6:00 p.m.
Responsibilities:
- Manage day-to-day administrative operations for author and talent engagements, including contracts, onboarding, invoices, payments, and documentation.
- Coordinate contracts from initiation through execution with Legal, Editorial, Finance, and external representatives, ensuring timely completion and follow-up.
- Develop and maintain efficient processes for author and talent setup, payment, invoicing, and recurring financial workflows.
- Serve as the central point of contact for operational questions, coordinating information across internal teams and external partners.
- Maintain accurate records of contracts, contacts, payment details, invoices, and other author and talent data.
- Process, track, and reconcile invoices and payments, partnering with Finance to resolve discrepancies and outstanding items.
- Own operational trackers and reporting systems, ensuring data integrity and regular reporting on contracts, payments, expenses, milestones, and deadlines.
- Monitor contractual and operational milestones, proactively flagging upcoming deadlines and obligations.
- Partner with Editorial, Finance, Legal, Production, and Marketing to keep workflows on track and resolve issues.
- Identify opportunities to streamline processes, improve systems, and increase operational efficiency.
Required Skills & Qualifications:
- 4+ years in publishing, entertainment, media, talent management, or a related operational/business environment.
- Strong organizational and project-management skills with attention to detail.
- Proven ability to manage multiple workflows, deadlines, and stakeholders simultaneously.
- Experience with invoices, payments, contracts, or similar administrative financial processes.
- Proficiency with spreadsheets and databases; Microsoft Office and Google Workspace, including Google Sheets.
- Excellent written and verbal communication skills.
- Ability to communicate professionally with authors, agents, managers, vendors, and internal stakeholders.
- Strong follow-through and a proactive approach to resolving outstanding issues.
- Discretion in handling confidential information.
- Comfort working independently while collaborating with a cross-functional team.
Preferred Skills:
- Background in publishing and familiarity with the business of books.
- Experience in enterprise environments, vendor management, and process design.
Deal Breakers:
- Inability to operate independently in a fast-paced, evolving environment with a strong sense of urgency.
- Reluctance to take initiative and communicate confidently with stakeholders.
