Summary
Provide detail-oriented administrative and clerical support for WCE and College and Career Readiness (CCR) compliance processes, including careful review of course documentation, attendance records, instructor timesheets, student time logs, and related records to help ensure accuracy, completeness, and alignment with FTE compliance requirements.
Essential Functions
- Conduct detailed reviews of WCE hard-copy course documentation, including attendance records, instructor timesheets, student time logs, and supporting materials, to verify accuracy, completeness, signatures, dates, contact hours, and compliance with WCE standards and FTE reporting requirements.
- Use the College's student information system (Colleague) to compare electronic course information and enrollment data with official attendance records and supporting documentation, identifying inconsistencies, missing information, or potential compliance concerns for supervisor review.
- Track documentation review status and organize records requiring follow-up to support timely correction, completion, and submission of WCE compliance materials.
- Maintain physical records in a filing system in accordance with an established records management schedule and retention procedure.
- Scan, index, and electronically file documentation within the College's document management system (Etrieve) to support accurate recordkeeping and accessibility.

Qualifications
Education minimum: Associate degree.
Work experience minimum: At least two years working for a professional organization in a clerical, administrative environment.
Must demonstrate through professional experience and employer references strong reliability, attention to detail, accuracy in reviewing records, ability to follow established procedures, and sound judgment when identifying missing or inconsistent documentation.Preferred education and experience:
Business, Accounting, or related degree.
Relevant and solid professional experience in records management.
Experience using the Colleague student and course information system.
Experience reviewing contracts, timesheets, schedules, attendance records, course documentation, or time logs for accuracy, completeness, and compliance.
