Position Description
DEFINITION
The Credential Completion Specialist performs a variety of operational and technical functions in support of student credential completion and awarding processes. This position is responsible for reviewing student academic records, evaluating program completion requirements, identifying students who have met eligibility requirements for certificates, diplomas, and degrees, and facilitating the awarding of credentials. Utilizing institutional systems, reports, and degree audit tools, the position proactively identifies students who may have completed academic programs but have not applied for graduation or credential conferral. This position contributes to student success initiatives, institutional completion goals, credential attainment rates, and accurate academic record maintenance.
SUPERVISION RECEIVED AND EXERCISED
Duties & Responsibilities (Essential Functions)
ESSENTIAL FUNCTIONS
Review student academic records to determine eligibility for the awarding of certificates, diplomas, and degrees.
Conduct detailed evaluations of academic coursework, transfer credit, prior learning credit, substitutions, waivers, and other academic credit to determine completion of program requirements.
Utilize software including Ellucian Colleague, Informer, degree audit tools, and other institutional systems to identify students who have completed or may be eligible to complete academic credentials.
Assist with basic training of the credential review processes to other staff as needed
Execute and monitor batch completion review processes, including Fast Path Analysis (FPAT) and related reporting tools, to identify students who may have satisfied requirements for additional credentials.
Research and analyze student records to resolve discrepancies, exceptions, and completion-related issues.
Review program evaluations and degree audits to verify accurate completion of curriculum requirements in accordance with college policies and catalog requirements.
Identify students who have completed credentials but have not submitted graduation applications or requests for credential conferral.
Process credential awards in accordance with institutional policies, procedures, and established timelines.
Assist with the awarding of credentials under initiatives designed to increase student completion and credential attainment.
Maintain accurate records of completion reviews, credential awards, and related documentation.
Monitor data quality and identify opportunities to improve processes related to credential evaluation and awarding.
Assist in the development, documentation, and implementation of procedures related to credential review and awarding processes.
Support institutional efforts to improve completion rates, graduation rates, credential attainment, and student success outcomes.
Experience with student information systems, degree audit tools, and reporting systems.
Remain current on curriculum changes, catalog updates, academic policies, and credential requirements that impact student eligibility for awards.
OTHER IMPORTANT FUNCTIONS
Responds in a timely and professional manner to student inquiries (phone, written, and in-person support).
Generate, interpret, and analyze reports and data.
Maintain a high level of accuracy and attention to detail.
Perform other duties and responsibilities as required.
Maintain strict confidentiality of student records and other materials or information of a confidential or sensitive nature as it relates to FERPA (Family Educational Rights and Privacy Act).
Strong customer service skills.

Modern office procedures, methods, and equipment.
Operate a variety of office equipment including a computer, and familiarity with Microsoft Word, Google Suite, PowerPoint, and other frequently used computer programs.

Qualifications
EXPERIENCE AND EDUCATION GUIDELINES
Associate Degree or equivalent combination of education and related work experience.
One year of experience in a higher education setting.
Experience in a Registrar's Office with degree audit/credential completion work preferred.

Candidates who have obtained their education outside of the US and its territories must have their academic degree(s) validated, at their own expense, by an outside credential evaluation service as equivalent to the Baccalaureate or Masters degree conferred by a regionally accredited college or university in the United States.
