Position Summary

The Property Management Administrative Assistant is responsible for providing clerical support to the Property Manager assisting with the daily operations of the primary commercial property, and other branch location properties. This position balances the tenant relations with technical coordination amongst the tenants, managers and maintenance personnel.

Essential Duties

Answer phones and greet visitors and tenants with the highest regard for professionalism

Schedule appointments for prospective tenants

Coordinate with contractors and maintain records and documentation.

Sorting, logging, dispersing incoming mail

Prepare incoming and outgoing correspondence letters

Provide administrative support to maintenance personnel to include maintenance scheduling and follow-up on all preventive maintenance and work orders throughout the building.

Maintain the calendar for the Community Room, along with assisting in special events and tenant functions and luncheons.

Knowledge, Skills, and Abilities

Knowledge of personal computers and computer software for word processing and spreadsheets is required. Knowledge of property management and sales is required. Good organizational and time management skills. Operate standard office equipment. Basic math skills to calculate interest and balance accounts. This job requires the ability to meet established deadlines, work productively in groups and individually. Communicate effectively orally and in writing, effective interpersonal skills,

Position Requirements

Graduation from high school (or equivalent)

Use of personal vehicle is necessary

On occasion must work extended hours

Some travel may be required to surrounding bank locations and training events.
