JOB SUMMARY 

The Property Coordinator is an administrative role that supports the Property Manager or Senior Property Manager in the day-to-day operation of one or more commercial properties. The Coordinator provides administrative and coordination support across tenant and lease administration, financial processing, and facilities and vendor management, helping ensure smooth, well-organized daily operations.

This is a foundational role suited to someone early in their career who is organized, detail-oriented, and interested in building a career in commercial property management.

JOB ESSENTIAL RESPONSIBILITIES

Financial & Accounting Support

• Help the Property Manager(s) resolve vendor invoicing questions, including contacting vendors directly to troubleshoot billing discrepancies

• Compile and organize supporting documentation for NNN reconciliations in coordination with Property Manager(s) and Lease Administration

• Track rent collections and delinquency reports, flagging past-due accounts for follow-up

Tenant Coordination

• Coordinate the administrative logistics of tenant move-ins and move-outs (e.g., access, checklists, and required documentation), assisting the Property Manager(s) in coordinating with the Tenant Coordinator and Lease Administration team on lease-related notices and rent commencement paperwork

• Stay informed on key lease terms and dates (e.g., operational clauses, tenant requirements, expirations and renewal options) for assigned properties, and assist the Property Manager(s) in coordinating with the Lease Administration team as needed

• Assist with incoming tenant calls, emails, and requests, routing inquiries appropriately to support the Property Manager(s), who serves as the primary point of contact

• Provide tenants with general property information and help coordinate scheduling of property services

• Notify the Property Manager(s) of recurring tenant concerns or unusual situations

• Help plan and coordinate tenant events and appreciation activities as directed

Facilities and Vendor Coordination

• Serve as a point person for assigned properties within the MCB Mainline work order system (which uses Cove software), or other system as designated, keeping tenant and property information current, entering work tickets, dispatching to the appropriate technician or vendor, and following up to confirm completion

• Distribute RFPs to vendors as directed by the Property Manager(s) and compile vendor responses into comparison summaries for review and approval

• Coordinate with the designated contracts team to route approved service contracts for signature and track them through full execution

• Maintain vendor contract files and certificates of insurance, confirming they remain current and meet contract requirements

• Assist with incoming vendor calls, emails, and requests, routing inquiries appropriately to support the Property Manager(s) and team

• Coordinate utility account transfers and setups for new acquisitions, dispositions, and vacating tenants

• Support scheduling of property inspections, preventative maintenance, and contractor work (e.g., window washing), and help maintain property records, site plans, and operational documentation

Reporting & General Administrative Support

• Assist in compiling data for property performance and operational reports

• Prepare, format, and distribute forms, spreadsheets, and information packages to support the Property Manager(s)

• Maintain organized digital and physical files for leases, contracts, and vendor records, and keep tenant and emergency contact lists current

• Provide general administrative support, including correspondence and scheduling

• Assist with special projects and other duties as assigned

KNOWLEDGE, EXPERIENCE, SKILLS/ABILITIES

• High school diploma or equivalent required; Associate’s or Bachelor’s degree strongly preferred

• Prior experience in property administration or a similar real estate-related role strongly preferred

• Familiarity with commercial real estate property management terms and processes is a big plus

• Familiarity with Cove or similar work order software, or with real estate platforms such as MRI, Yardi, Nexus, or Avid, is a plus

• Proficiency with Microsoft Office (Excel, Word, Outlook) required

• Strong written and verbal communication skills

• High degree of accuracy and attention to detail

• Ability to manage multiple tasks, prioritize workload, and meet deadlines

• Ability to work both independently and collaboratively as part of a team

PHYSICAL REQUIREMENTS 

This position is primarily based in a corporate office setting, with regular time spent on site at assigned properties. The role may involve travel between properties and walking property common areas and grounds, along with extended periods of sitting and computer/keyboard use. Typing dexterity is required; minimal lifting (under 20 lbs.), standing, walking, and climbing may be required.
