We are currently looking to hire a Property and Facilities Manager to join our team embedded with our client in San Francisco!

This position requires working onsite at our client's Headquarters in San Francisco, CA, with travel to other client residential locations in Aspen, CO, Palm Springs, CA, and San Antonio, TX. 

JOB DESCRIPTION

The Property and Facilities Manager is an experienced project manager and builder with a background in high-end, sophisticated residential environments, responsible for overseeing all building systems across newly remodeled homes in San Francisco, Aspen, CO, Palm Springs, and San Antonio, TX. This role combines technical expertise in property systems with vendor and contractor management, ensuring each residence is maintained to the highest standard while exercising the discretion, judgment, and service orientation expected in a private household setting.

This role requires extensive travel across all four properties to ensure hands-on oversight and timely service. The ideal candidate brings a project management background paired with general maintenance and repair skills. You will manage property systems oversight, general repairs and maintenance, vendor coordination, utilities and municipal administration, and vehicle upkeep for estate vehicles. This is a senior-level position suited to someone who combines technical competence with the discretion, judgment, and service orientation expected in a private household setting. A personal vehicle is required; mileage is reimbursed at the current IRS rate.

RESPONSIBILITIES

  • Provide strategic direction and executive oversight for all residential properties in the portfolio
  • Develop and implement multi-year facilities management plans aligned with organizational goals
  • Establish performance benchmarks, KPIs, and reporting frameworks to evaluate property condition and operational efficiency
  • Advise executive leadership on capital allocation decisions, risk exposure, and property lifecycle planning
  • Architect and govern comprehensive preventative maintenance programs across all building systems (plumbing, electrical, HVAC, structural, and life safety)
  • Lead the evaluation, selection, and implementation of Computerized Maintenance Management Systems (CMMS) or property management platforms
  • Oversee scheduling, prioritization, and quality control of routine and emergency maintenance activities
  • Monitor building system performance and lead root-cause analysis on recurring issues
  • Negotiate, execute, and manage vendor contracts and service-level agreements (SLAs) with contractors, specialty trades, and service providers
  • Build and maintain a qualified vendor network across all trade disciplines; continuously evaluate performance and cost-effectiveness
  • Serve as senior point of contact and decision-maker for all general contractor relationships on renovation and capital projects
  • Lead end-to-end oversight of renovation and capital improvement projects, including scope development, budgeting, contractor selection, and project delivery
  • Manage project budgets with accountability for variance reporting and cost controls; drive value engineering opportunities without sacrificing quality
  • Coordinate with legal, finance, and ownership teams on permitting, compliance, and project documentation

PHYSICAL DEMANDS

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 20 pounds at times.
  • Walking, standing, climbing stairs, moving around different areas of a building.
  • Manual dexterity using hands to operate tools, equipment, and handle materials

REQUIRED QUALIFICATIONS

  • 5-10 years of property management experience
  • This position requires extensive travel across San Francisco, Aspen, Palm Springs, and San Antonio properties
  • Must be able to legally work in the country where this position is located without visa sponsorship
