Description

Careerscape is recruiting on behalf of our client, a growing construction and project management firm in the Phoenix area, for a detail-oriented Project Support Coordinator. This hybrid role sits at the center of project operations, keeping schedules, documentation, and communication flowing smoothly between project managers, field teams, subcontractors, and clients. Day to day, you will juggle shifting priorities, track deadlines across multiple active projects, and act as the go-to point of contact for status updates, documentation requests, and scheduling coordination. The role suits someone who is naturally organized, communicates clearly under pressure, and takes satisfaction in turning chaos into a clean, well-run process. You will work closely with project managers and site teams, so comfort collaborating across disciplines and following up without being asked twice is essential.

Responsibilities

  • Coordinate day-to-day administrative and logistical support for active project teams
  • Maintain accurate project schedules, budgets tracking sheets, and status reports
  • Prepare, organize, and distribute project documentation including contracts, change orders, and permits
  • Serve as a primary point of contact for subcontractors, vendors, and clients regarding scheduling and documentation
  • Track project milestones and proactively flag potential delays or issues to project managers
  • Assist with meeting coordination, agenda preparation, and follow-up action item tracking
  • Maintain organized digital and physical filing systems for project records
  • Support procurement processes including purchase orders and invoice tracking
  • Assist in onboarding new subcontractors and maintaining compliance documentation
  • Generate regular progress reports for internal and client-facing stakeholders

Requirements

  • 2 or more years of experience in project coordination, administrative support, or a related role
  • Strong organizational skills with the ability to manage multiple projects simultaneously
  • Proficiency in Microsoft Office and project management or scheduling software
  • Excellent written and verbal communication skills
  • Ability to work independently while collaborating across cross-functional teams
  • High attention to detail and comfort working with deadlines and shifting priorities
  • Experience in construction, real estate, or a related project-driven industry preferred
  • Associate or bachelor's degree in business, construction management, or related field preferred
  • Ability to commute to the Phoenix, Arizona office for hybrid work schedule
