    Summary

    The Project Specialist Communications of Foundation is responsible for coordinating, executing and delivering communication initiatives that support Beacon Health Foundation's fundraising, stewardship, donor engagement and brand awareness goals.

    This role serves as the operational hub for Foundation communications projects, ensuring campaigns, impact reports, stewardship initiatives, donor communications, events and digital communications move efficiently from concept through completion. Working under the direction of the Foundation's Director of Communications, this role interacts with multiple internal and external partners and collaborators to manage timelines, workflows, approvals, vendors and project deliverables while helping maintain consistent messaging and an exceptional donor experience.

    Communications Project Management

    • Manage Foundation communications projects from assignation through implementation.
    • Maintain project plans, timelines, task lists and production schedules.
    • Coordinate project meetings, status updates, approvals and stakeholder communications.
    • Maintain communications planning tools, dashboards and project-tracking systems.
    • Maintain records related to project deliverables and communications activities.
    • Assist with reporting on campaign outcomes and communications effectiveness.

    Campaign Coordination

    • Coordinate print and digital campaigns, stewardship initiatives, donor recognition programs, impact reporting and special fundraising efforts.
    • Manage and execute communications workflows across multiple campaign audiences and channels.
    • Support implementation of calendar-based communications strategies.

    Content & Production Management

    • Develop and/or produce donor communications, appeal materials, emails, newsletters, reports, presentations and digital assets.
    • Collect and manage content for Foundation communications from Beacon staff, physicians, clinical leaders, patients and program representatives as needed.
    • Work with external printers, creative vendors, freelance partners and production resources as needed to complete Foundation projects.
    • Track version control, approvals and production milestones for individual projects.

    Foundation Communications Support

    • Write and/or produce donor stewardship communications and impact report materials, including but not limited to original text copy, low-level design work and various other front-facing material item needs.
    • Support execution of donor-focused communication journeys and touchpoints.
    • Help ensure timely and meaningful communication with donors and supporters.

    ORGANIZATIONAL RESPONSIBILITIES

    Associate complies with the following organizational requirements:

    • Attends and participates in department meetings and is accountable for all information shared.
    • Completes mandatory education, annual competencies and department specific education within established timeframes.
    • Completes annual employee health requirements within established timeframes.
    • Maintains license/certification, registration in good standing throughout fiscal year.
    • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
    • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
    • Adheres to regulatory agency requirements, survey process and compliance.
    • Complies with established organization and department policies.
    • Available to work overtime in addition to working additional or other shifts and schedules when required.

    Required

    • Bachelor's degree in Communications, Marketing, Journalism, Public Relations, Nonprofit Management, Business Administration, or related field.
    • 2-4 years of project management, communications, marketing, fundraising, nonprofit or related experience.
    • Exceptional organizational and time management skills.
    • Strong written and verbal communication skills.
    • Ability to manage multiple concurrent projects and deadlines.
    • Proficiency with Microsoft 365 applications and project management tools.

    Preferred

    • Healthcare, nonprofit or foundation experience.
    • Experience supporting fundraising or donor communications initiatives.
    • Experience coordinating direct mail, digital communications, or content production.
    • Familiarity with digital marketing platforms, CRM or donor database platforms.
    • Familiarity with design tools such as Canva
    • Familiarity with Adobe products, including Acrobat, InDesign and/or Photoshop.

    Working Conditions

    • Works in an office environment.
    • May experience some mental/visual fatigue due to continued use of computer equipment.

    Physical Demands

    • Requires the physical ability and stamina to perform the essential functions of the position.
