Project & Operations CoordinatorOak & Arrow HomesEdina, MN | Full-Time | HybridOak & Arrow Homes is looking for a highly organized and dependable Project & Operations Coordinator to help keep our design, construction, and administrative processes moving smoothly.We build whole-home remodeling and custom home projects, and this role will work closely with our owner, project management, and design team.We are open to candidates from a variety of backgrounds. Experience in the construction, remodeling, design, or related industries is helpful, but hands-on construction experience is not required. What matters most is that you bring strong organizational skills, sound judgment, reliability, and a willingness to learn.What You'll DoDesign & Project CoordinationCoordinate the design process from client kickoff through construction handoff.Schedule meetings, send calendar invitations, and coordinate client communications.Keep project schedules, documentation, and follow-up items organized.Coordinate information between clients, designers, project management, vendors, and subcontractors.Help identify missing information and make sure action items are followed through.Financial & Administrative SupportCoordinate invoicing and accounts receivable activities.Support accounts payable and vendor-related administration.Maintain accurate project and financial records.Help ensure invoices, payments, and related documentation are completed accurately and on time.Support day-to-day administrative and operational needs.Construction & Project SupportSupport the Project Manager with project coordination and documentation.Assist with construction specifications, selections, and project information.Provide site supervision support as needed.Depending on experience, coordinate or manage smaller projects.Assist with estimating, costing, and the transition from design into construction.Team Support & Process ImprovementHelp create systems and processes that make the team's work easier and more efficient.Keep projects and information organized across multiple priorities.Step in to solve problems, follow up on details, and keep work moving.What We're Looking For3+ years of experience in project coordination, office management, operations, construction administration, interior design, or a related field.Experience in residential remodeling, construction, or interior design is strongly preferred.Strong organizational and follow-through skills.Excellent written and verbal communication.Ability to manage multiple priorities while maintaining attention to detail.Strong computer skills and comfort learning new software and systems.Good judgment and the ability to work independently.A proactive approach to identifying and solving problems.Professional and respectful communication with clients, vendors, and team members.We're looking for someone with relevant industry experience who is ready to take on a broader role across project coordination and operations.Compensation & ScheduleThis is a full-time, hourly position with an ideal schedule of approximately 35 to 40 hours per week. We value sustainable workloads and aim to avoid unnecessary overtime.The anticipated annualized compensation is approximately $80,000 to $90,000, depending on experience and qualifications, along with benefits.The position is hybrid.
