Job Summary


Villa’s Construction & Remodeling Inc. is a luxury construction and remodeling company serving Boca Raton and Palm Beach County, specializing in high-end renovations, custom projects, and new construction.


We are seeking a Bookkeeper Specialist to manage the day-to-day financial and accounting functions of our construction projects. Responsibilities include processing invoices and payments, payroll preparation, account reconciliation, job-cost tracking, monitoring project expenses and budgets, maintaining accurate financial records, and preparing financial reports.

We are looking to make a long-term commitment to a qualified candidate who is interested in taking the leadership role to ‘make projects happen’. The Project Manager is responsible for the management of the. The Manager must have a high degree of knowledge in this phase and must strive to ensure that subcontractors, suppliers, laborers and others maintain the high level of Quality required by Villa’s Construction & Remodeling Inc, while maintaining safety standards and production levels through proactive administrative, communication and scheduling techniques.
 
Key Duties and Responsibilities


  • Demonstrate excellent organizational and time-management skills, with the ability to manage multiple projects and meet aggressive deadlines.
  • Plan and organize daily activities, prioritize workloads, identify items requiring immediate attention, and maintain a sense of urgency to ensure timely completion.
  • Maintain strong attention to detail while coordinating and prioritizing multiple people, tasks, projects, and deadlines.
  • Schedule and coordinate subcontractors, suppliers, municipal personnel, utility companies, and Villa’s Construction office personnel.
  • Ensure quality-control compliance with building codes, regulatory requirements, scopes of work, specifications, product approvals, and company workmanship standards.
  • Train, direct, and supervise subcontractors to ensure work is completed correctly, thoroughly, safely, and on schedule.
  • Conduct and supervise work in accordance with applicable safety standards and company guidelines.
  • Maintain required construction documents, project records, plans, and supporting documentation throughout the construction process.
  • Review completed subcontractor work and approve eligible payments through the company’s production system and General Contractor approval process.
  • Maintain proactive communication with subcontractors, suppliers, municipal personnel, utility companies, customers, and Villa’s Construction personnel.
  • Maintain clean and organized job sites through the effective supervision of laborers and subcontractors.
  • Be available to work Saturdays and evenings when required, particularly during critical or final phases of a project.
  • Manage multiple projects simultaneously in a fast-paced construction environment.
  • Prepare, review, and manage change orders, scopes of work, repairs, and final punch lists.
  • Manage project budgets, control expenses, monitor costs, and identify potential budget concerns.
  • Manage and control project schedules and facilitate resolutions and agreements among project team members.
  • Meet with building managers and maintenance personnel to conduct detailed property inspections and obtain necessary building plans, records, and project information.
  • Work closely with the General Contractor to review project details and ensure projects are completed on time and within budget.
  • Communicate regularly with customers and office personnel throughout the construction and project-management process.
  • Participate in bi-weekly Work-in-Progress (WIP) reviews with the General Contractor.
  • Complete required paperwork and maintain accurate, timely project updates in Buildertrend for management and office personnel.
  • Effectively supervise and interact with customers, vendors, subcontractors, employees, and personnel at all levels of the organization.
  • Communicate clearly and professionally, both verbally and in writing, with subcontractors, office personnel, customers, vendors, and other project stakeholders.
  • Provide excellent customer service and demonstrate a genuine commitment to customer satisfaction.
  • Demonstrate accountability and follow through to ensure work is completed correctly, efficiently, and according to company standards.
  • Work effectively both independently and as part of a team.
  • Provide strong leadership by directing, training, supervising, and motivating vendors and subcontractors professionally and respectfully.
  • Make sound, timely, and cost-effective decisions when project challenges or problems arise.
  • Anticipate potential project issues and proactively develop solutions to prevent delays, additional costs, or disruptions.
  • Take initiative when problems arise by identifying solutions, developing an action plan, and following through to resolution.
  • Perform other related duties and responsibilities as requested by Management or the General Contractor.
EXPERIENCE & SKILLS


  • 4 year degree in Building Construction OR related field preferred
  • Minimum 2 years' experience in construction field in South Florida.
  • Certified Project Manager with hands on experience 
  • Buildertrend CRM experience is a LARGE+
  • Spanish Speaker A+ 
  • Experience working in a high volume, production environment required.
  • Prior experience working with customers and ensuring customer satisfaction required
  • Driver's License: Must have a valid driver's license and reliable transportation. Company Vehicle will be provided to use for Villa’s Construction field sites
  • 5 year minimum of prior construction work experience
