Description
The Project Manager serves as a key member of the Office of Marketing and Communications (OMC) and plays a central role in managing the workflow that supports Loyola University New Orleans' university-wide marketing and communications efforts. The position oversees project intake, planning, scheduling, coordination, documentation, vendor coordination, and operational execution to help ensure approved work moves through OMC's workflow in an organized,
timely, and accountable manner.
This role combines marketing project management with account coordination responsibilities. Serving as the primary operational contact for assigned projects, the Project Manager works closely with campus partners, OMC staff, and vendors to coordinate timelines, approvals, project execution, and communication while helping ensure work remains aligned with institutional priorities, available resources, and established workflows.
As Loyola continues to strengthen a coordinated, university-wide marketing and communications model, the Project Manager helps establish the operational structure needed to move projects predictably from intake through completion while escalating strategic, creative, brand, communications, budget, capacity, and policy decisions to the appropriate OMC leadership.
Examples of Duties
Manage Marketing Intake and Project Readiness: Administer OMC's centralized marketing intake workflow by reviewing requests for completeness, approvals, timelines, required materials, production needs, and workflow readiness. Partner with the Director of Marketing and OMC leadership to help determine project priority, resource needs, and appropriate next steps.
Develop and Manage Project Plans:
Translate approved projects into actionable project plans that define tasks, schedules, milestones, assignments, dependencies, approvals,
documentation, and handoffs needed to support successful execution.
Coordinate Project Workflow and Execution: Manage day-to-day workflow of assigned projects from intake through completion. Track timelines, deliverables, approvals, dependencies, and handoffs while coordinating work across OMC staff, campus partners, vendors, and other contributors. Support larger campaigns and multi-channel initiatives by coordinating project components and maintaining production schedules.
Serve as Primary Project Contact: Serve as primary operational contact for assigned projects by communicating timelines, project requirements, approvals, production processes, and workflow expectations.
Build productive relationships with campus partners by providing project updates, documenting decisions, managing expectations, resolving routine coordination issues, and guiding requests through established OMC processes.
Maintain Project Management Systems and Reporting:
Maintain accurate project records with designated project management and workflow systems, ensuring project schedules, task assignments, approvals, documentation, status updates, and reporting information remain current.
Track project volume, workload, deadlines, workflow trends, and other operational data to support planning, reporting, and continuous improvement.
Facilitate Project Communication and Documentation: Schedule and coordinate project meetings, prepare agendas, document decisions, capture action items, assign next steps, distribute notes, and follow up to ensure accountability and progress.
Coordinate Production and Vendor Services:
Coordinate production logistics for assigned projects, including proof distribution, file routing, vendor communication, production timelines, delivery needs, estimate tracking, invoice coordination, purchasing documentation, and other administrative production details. Support centralized oversight of external marketing activity by maintaining project records, coordinating required approvals, and documenting vendor-related
information.
Monitor Project Risks and Escalate Issues:
Monitor project timelines and identify risks that could delay production or affect project success, including scheduling conflicts, delayed approvals, incomplete information, scope changes, vendor issues, budget concerns, capacity constraints, and policy questions. Escalate concerns to the Director of Marketing or appropriate
OMC leadership as needed.
Support Marketing Operations and Process Improvement:
Support the development, implementation, and continuous improvement of project management standards, workflow tools, intake procedures, project templates, status reports, documentation practices, training resources, and other operational frameworks that improve clarity, consistency, and production efficiency.
Represent OMC in Project Coordination Settings:
Represent OMC in project coordination meetings, campus partner meetings, vendor meetings, production meetings, and cross-functional initiatives as assigned.
Perform Other Duties as Assigned:
Perform other duties and responsibilities as assigned by the Director of Marketing in support of the Office of Marketing and Communications and the
university's strategic priorities.
Typical Qualifications
Bachelor's degree in business administration, communications, marketing, project management, public administration, higher education administration, English, or a related field.
Minimum of seven years of progressively responsible professional experience in project management, marketing operations, account management, client service, workflow coordination, communications, or a related field.
Demonstrated experience managing multiple concurrent projects, timelines, deliverables, documentation, approvals, and stakeholder communication.
Demonstrated experience coordinating cross-functional work involving multiple contributors, departments, vendors, or clients.
Demonstrated organizational, communication, and relationship-management skills with exceptional attention to detail and follow-through.
Experience using project management, workflow, collaboration, CRM, or related business systems.
Demonstrated ability to exercise sound judgment, manage competing priorities, and maintain professionalism in a fast-paced environment.
Preferred Qualifications
Experience in higher education, nonprofit, agency, enrollment marketing, advancement communications, or another mission-driven organization.
Experience supporting high-volume project portfolios or multiple concurrent clients, campaigns, or initiatives.
Experience developing or improving project management processes, documentation, workflow standards, or training resources.
Experience working within a centralized marketing, communications, creative services, or project management environment.
Experience with project management, workflow, CRM, or issue-tracking platforms.
Professional certification such as PMP, CAPM, Certified ScrumMaster, or a comparable
credential.
Knowledge, Skills, and Abilities

Work Environment and Physical Requirements
This position operates primarily in a professional office environment and routinely uses a computer, phone, project management systems, and standard office equipment. The role requires frequent communication with internal and extern l partners and requires attendance at campus meetings, project coordination meetings, production meetings, vendor meetings, and occasional evening and weekend activities.
