The Project Manager, Institutional Giving is responsible for the operational success of the Institutional Giving program, including foundation, corporate, and select government funding opportunities. Serving as the central coordinator for institutional fundraising efforts, this role supports the planning and execution of fundraising strategy in alignment with organizational priorities and goals.
Partnering closely with development officers, grant writers, physicians, researchers, clinicians, foundation leadership, and administrative stakeholders across Swedish and Providence, the Project Manager manages the full institutional giving lifecycle, including prospect research, opportunity assessment, proposal development, submission, stewardship, reporting, and renewal. Leveraging prospect intelligence and fundraising data, the role helps identify and advance a complex portfolio of institutional funding opportunities while ensuring timely execution of proposals and compliance with funder requirements.
Essential Functions
Program Management
In partnership with the Director, develop and maintain an annual institutional fundraising plan, including revenue goals, pipeline development, funding priorities, and stewardship strategies.
Manage institutional giving workflows, timelines, and activities to ensure timely completion of proposals, reports, renewals, and donor engagement efforts.
Establish and improve processes, tools, and systems that enhance operational effectiveness and fundraising outcomes.
Monitor program performance and provide regular updates on pipeline activity, proposal status, revenue forecasts, and funding results.
Grant & Proposal Management
Coordinate the development of grant proposals, letters of inquiry, presentations, budgets, and impact reports.
Collaborate with program, finance, and leadership teams to gather outcomes data, financial information, and programmatic content for funding requests and reports.
Ensure all submissions meet funder requirements, organizational standards, and established deadlines.
Monitor grant award obligations and reporting requirements to ensure compliance and successful stewardship of institutional investments.
Relationship Management
Support the development and implementation of cultivation, solicitation, stewardship, and engagement strategies that strengthen long-term institutional relationships.
Provide logistical coordination for funder meetings, site visits, executive briefings, presentations, and donor engagement opportunities.
Execute targeted outreach efforts and events designed to cultivate new institutional partners and deepen existing relationships.
Maintain comprehensive records of funder interactions, opportunities, proposals, and commitments within the CRM system.
Prospect Research & Strategic Analysis
Conduct ongoing research to identify, qualify, and prioritize institutional funding opportunities aligned with organizational priorities.
Analyze foundation and corporate giving histories, funding trends, grant guidelines, and philanthropic priorities to inform fundraising strategy.
In partnership with Foundation leadership, provide strategic recommendations regarding prospective funders, institutional partnerships, and funding opportunities.
Compliance, Reporting & Financial Coordination
Ensure compliance with all grant requirements, funding agreements, and reporting obligations.
Track grant deliverables, milestones, outcomes, and reporting schedules.
Support grant audits, funder inquiries, and organizational reporting requirements.
Develop reports, dashboards, and analyses that provide visibility into institutional fundraising performance and funding outcomes.

Required Qualifications:
Bachelor''s Degree
4 years of non-profit or Development Administration, Project Management, Healthcare Administration, or Equivalent Experience
2 years of demonstrated project management skills and ability to work effectively to build relationships with colleagues
Experience with Project Management methodologies and software
Experience in managing projects in a complex, matrixed environment
Preferred Qualifications:
4 years or more years experience in healthcare philanthropy, academic medicine, research institutions, or complex nonprofit organizations
4 years or more years experience in institutional giving, foundation relations, grants management, project management, or fundraising operations
Strong analytical, organizational, and problem-solving skills
Experience utilizing CRM systems, prospect research tools, and fundraising databases
Ability to synthesize clinical, research, financial, and programmatic information into compelling funding opportunities and strategic recommendations
Project management certification or formal project management training
Knowledge of grant compliance, fund accounting, and philanthropic best practices
Excellent written communication skills
