Job Description

Contract Administration

  • Manage all aspects of project contract administration throughout the project lifecycle.
  • Prepare, review, and process project billings, payment applications, RFIs, submittals, and change orders.
  • Ensure all project documentation is accurate, complete, and maintained in accordance with contract requirements.
  • Monitor project budgets, cost tracking, and change management processes.

Client & Stakeholder Management

  • Lead and facilitate Owner-Architect-Contractor (OAC) meetings.
  • Serve as the primary point of contact for owners, architects, consultants, subcontractors, and other project stakeholders.
  • Maintain clear, proactive communication regarding project status, schedule, risks, and solutions.
  • Build and maintain positive client relationships throughout project execution.

Regulatory & Compliance Management

  • Oversee all regulatory requirements necessary for project completion.
  • Ensure inspections are scheduled and completed in a timely manner.
  • Coordinate permit-related activities and required documentation.
  • Manage the closeout process to ensure all approvals and paperwork are completed for successful issuance of the Certificate of Occupancy.

Project Scheduling & Execution

  • Lead development and management of the project schedule.
  • Coordinate schedule updates with input from the Project Superintendent, Procurement Team, and regulatory agencies.
  • Identify potential schedule impacts and implement corrective actions to maintain project milestones.
  • Monitor procurement activities and long-lead items to support project objectives.

Team Leadership

  • Provide leadership and direction to the project team.
  • Collaborate closely with the Superintendent, Project Engineer, and Accounting Team to achieve project goals.
  • Foster a culture of accountability, professionalism, and customer service.
  • Support continuous improvement of project management processes and best practices.

The Successful Applicant

Required Qualifications

  • Bachelor's degree in Construction Management, Engineering, Architecture, or a related field preferred.
  • Minimum of 5+ years of commercial construction project management experience.
  • Proven experience managing institutional renovation projects within active, occupied buildings.
  • Strong knowledge of construction contracts, RFIs, submittals, change orders, scheduling, and project controls.
  • Experience managing permitting, inspections, and project closeout requirements.
  • Proficiency with construction management software like Procore, Bluebeam and Microsoft Office applications.
  • Strong financial management and cost-control skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple priorities and stakeholders in a fast-paced environment.

Required Experience Candidates must have institutional renovation experience in active/occupied facilities, such as:
