Russell Tobin is seeking a detail-oriented and proactive Program Coordinator to support a high-visibility Finance Transformation portfolio for a leading technology organization. This role is ideal for someone who enjoys working in a fast-paced, cross-functional environment and can balance program coordination, stakeholder communication, project tracking, and data analysis.
The ideal candidate will be highly organized, analytical, and comfortable managing multiple workstreams while ensuring project information, action items, milestones, and risks remain accurate and up to date.
Maintain and update program management tools such as Wrike, ensuring project status, milestones, risks, and deliverables are accurately reflected.
Coordinate and prepare for recurring leadership and working-team meetings, including agendas, meeting notes, and follow-up activities.
Track action items, open decisions, and deliverables across multiple workstreams and follow up with owners to maintain accountability.
Support the development and distribution of status updates, reporting decks, dashboards, and stakeholder communications.
Conduct data analysis to support project workstreams by synthesizing information, identifying trends, and translating findings into clear insights and recommendations.
Partner with cross-functional stakeholders to gather project inputs, align requirements, coordinate content, and ensure the appropriate teams are engaged at the right time.
Support onboarding of new workstreams and team members into established portfolio processes, tools, and ways of working.
Identify coordination gaps, potential delays, and risks and proactively escalate them to program leadership.
Help maintain consistency and organization across multiple concurrent projects and workstreams.
3+ years of experience in program coordination, project management, project operations, PMO, or a related field.
Experience working in a finance, technology, transformation, or enterprise environment is highly preferred.
Strong analytical skills with the ability to work with data, build summaries, identify trends, and explain the “so what” behind the findings.
Strong Excel skills for data analysis, reporting, and organization of project information.
Experience with BI, reporting, or dashboarding tools is a plus.
Demonstrated experience working with cross-functional stakeholders and managing content-heavy deliverables.
Strong organizational and time-management skills with exceptional attention to detail.
Ability to manage multiple priorities and workstreams in a fast-paced, ambiguous environment.
Experience with project management and collaboration tools such as Wrike, Jira, Asana, Smartsheet, or similar platforms.
Excellent written and verbal communication skills, with the ability to tailor information for different audiences, including leadership.
