ABOUT THE ROLE
Our Client is seeking a motivated and detail-oriented Project Manager to support its tax function and coordinate tax returns and related projects for ultra-high-net-worth clients and private foundations.
Working closely with the department leader, the Project Manager will oversee project timelines, coordinate with internal teams and external accounting firms, monitor outstanding items, and help ensure deadlines are met. This is a highly collaborative role requiring exceptional organization, thoughtful communication, discretion, and the ability to manage multiple priorities in a deadline-driven environment.
The successful candidate will bring structure to complex workflows, proactively identify potential issues, and ensure clients, colleagues, and external partners remain informed throughout the process.
RESPONSIBILITIES- Plan, schedule, and track tax return timelines for individuals, trusts, partnerships, and private foundations
- Monitor tax return status across internal teams and external accounting firms to support timely completion and filing
- Follow up on outstanding information and action items with clients, external accounting firms, and internal teams
- Identify potential timeline or deadline issues and promptly communicate them to department leadership and impacted stakeholders
- Coordinate quarterly client tax payments and facilitate required internal approvals
- Oversee billing and client payments associated with external accounting firms and the tax function
- Manage department workflow tools, client portals, tax return calendars, and related technology
- Maintain organized project documentation, status updates, meeting notes, and action items
- Support the development and improvement of project management processes and workflows
TECHNICAL EXPERTISE- Project planning, scheduling, and status tracking
- Workflow and task management systems
- Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
- Adobe Acrobat
QUALIFICATIONS- At least 3 years of experience in project coordination or project management
- Strong organizational skills and exceptional attention to detail
- Ability to successfully manage multiple projects and competing deadlines
- Clear, professional, and thoughtful written and verbal communication skills
- Proactive approach to follow-up, problem-solving, and stakeholder communication
- Ability to exercise discretion when handling sensitive and confidential information
- Relationship-oriented approach to working with clients, colleagues, and external partners
- Commitment to accurate, careful, and high-quality work
PREFERRED QUALIFICATIONS- Experience supporting ultra-high-net-worth clients
- Experience coordinating tax return timelines and due dates
- PMP certification or equivalent project management training
