From initial quality assurance to ongoing inspection and targeted repairs, this method is designed to extend service life and improve reliability. Supported by data-driven insights, Exo helps clients monitor asset conditions and make informed, strategic decisions. Position Overview: Engineering Services is responsible for the successful planning, execution, commercial management, and client-facing delivery of assigned engineering and technical consulting projects from project award through closeout. The Project Manager serves as the primary operational owner of assigned projects, coordinating engineering resources, client expectations, project scope, schedules, budgets, subcontractors, deliverables, and cross-functional stakeholders to ensure projects are delivered safely, professionally, on schedule, within authorized scope, and with appropriate financial performance. This role does not replace the technical authority of the Professional Engineer, Engineer of Record, or designated technical lead. The Project Manager is responsible for creating and maintaining the operational structure necessary for technical teams to execute successfully, including project controls, communication, financial visibility, resource coordination, risk identification, scope management, and timely escalation. Success in this role requires proactive ownership. The Project Manager is expected to understand the current health of each assigned project, anticipate what happens next, identify developing risks before they become critical, and drive issues toward resolution. Key Responsibilities (Essential Functions): Project Planning and Initiation Lead project transition from Business Development and/or estimating following award to ensure clear understanding of contractual commitments, client expectations, scope, assumptions, exclusions, deliverables, schedule, budget, and commercial terms.Develop and maintain project execution plans, schedules, milestones, resource requirements, budgets, work-hour plans, subcontractor requirements, and key deliverables.Lead internal project kickoff meetings and client-facing kickoffs as appropriate.Establish project roles, responsibilities, communication cadence, decision authority, and escalation expectations.Coordinate project setup and ensure required contracts, purchase orders, project numbers, documentation, systems, and approvals are in place prior to execution.Identify and coordinate third-party vendors and subcontractors when applicable. Project Ownership and Execution Own assigned projects from initiation through execution, delivery, invoicing readiness, and closeout.Maintain a current understanding of project status, upcoming milestones, outstanding actions, risks, dependencies, client needs, and required decisions.Drive project activities to completion and proactively follow up with responsible parties rather than waiting for issues or deadlines to escalate.Maintain accountability for project issues until they are resolved, formally transferred, or appropriately escalated.Identify obstacles to successful delivery and develop recommended solutions or corrective actions.Manage multiple concurrent projects and priorities while maintaining appropriate visibility across the assigned portfolio.Ensure project documentation, correspondence, decisions, schedules, and action items remain accurate and current. Engineering Team and Resource Coordination Coordinate Professional Engineers, technical leads, designers, analysts, inspectors, subject matter experts, and other project contributors required to execute assigned work.Establish clear assignments, priorities, deadlines, dependencies, and deliverable expectations.Monitor resource availability and competing priorities and proactively identify potential staffing constraints.Coordinate with Engineering leadership to resolve or escalate resource conflicts before project commitments are affected.Facilitate internal project meetings focused on decisions, risks, dependencies, resource requirements, and next actions.Support the engineering team by removing operational and administrative barriers that interfere with efficient technical execution.Respect and preserve the technical decision-making authority of the appropriate engineering professionals while maintaining accountability for overall project execution. Financial and Commercial Management Maintain a working understanding of the commercial structure of every assigned project, including contract type, authorized scope, contract or purchase-order value, NTE limits, budget, labor assumptions, subcontractor costs, billing requirements, and change-management provisions.Monitor project labor hours, expenditures, commitments, contract consumption, remaining value, and forecasted cost to complete.Compare actual performance against planned labor, budget, schedule, and project assumptions.Identify unfavorable burn trends, financial exposure, or potential overruns early and initiate corrective action or escalation.Maintain accurate project forecasts and communicate material changes to Engineering leadership and appropriate internal stakeholders.Coordinate with Accounting to support accurate revenue recognition, invoicing, project financial reporting, and resolution of billing issues.Review project financial information for reasonableness and investigate anomalies or unexpected charges.Protect Exo from unauthorized work by identifying potential out-of-scope requests before significant additional effort is performed.Coordinate with Business Development, Engineering leadership, and other appropriate stakeholders on change orders, additional-work requests, or revised commercial authorization. Client Relationship Ownership Serve as the primary operational point of contact for assigned clients and projects unless otherwise designated.Establish direct PM-to-client rapport immediately following project award.Lead client kickoff meetings, project-status meetings, routine execution discussions, and appropriate project correspondence.Establish and maintain a communication cadence appropriate to the project and client.Proactively communicate material schedule, scope, deliverable, and project-status information so clients do not have to repeatedly request updates.Coordinate with technical subject matter experts when technical explanation or engineering judgment is required while remaining accountable for overall client communication.Manage difficult project conversations professionally, including schedule concerns, delays, scope issues, client dissatisfaction, additional-work requests, or unexpected project conditions.Build client trust through accurate communication, realistic commitments, responsiveness, and consistent follow-through.Develop an understanding of client priorities, stakeholders, programs, and future needs.Identify potential adjacent opportunities or future work and communicate those opportunities to Business Development and Engineering leadership. Risk, Scope, and Change Management Identify, evaluate, document, and monitor project risks throughout the project lifecycle.Develop mitigation strategies and drive implementation of appropriate corrective actions.Maintain a clear understanding of contracted scope, exclusions, assumptions, deliverables, and client responsibilities.Identify scope creep or requested work outside Exo's current authorization.Document client-directed changes, technical changes, delays, additional requests, and other events that may affect project cost, scope, or schedule.Follow established change-control procedures and ensure appropriate authorization is obtained before significant additional work proceeds.Distinguish between routine project matters that can be independently resolved and issues requiring leadership or technical escalation.Immediately escalate material contract exposure, major schedule risk, significant financial exposure, safety issues, serious client concerns, or critical resource constraints.When escalating an issue, provide the relevant context, potential impact, available options, and a recommended path forward whenever possible. Quality and Deliverable Management Coordinate project deliverables through the appropriate internal technical and QA/QC review processes.Track deliverables against contractual requirements, schedule commitments, and established quality standards.Ensure required reviews and approvals are completed before deliverables are transmitted to clients.Coordinate with the appropriate technical authority to address quality concerns, client comments, or required revisions.Maintain visibility into deliverable status so schedule or review delays are identified before client commitments are missed.The Project Manager coordinates and monitors QA/QC progression but does not supersede the technical approval authority of Exo's licensed engineers or designated technical reviewers. Subcontractor and Vendor Coordination Coordinate third-party vendors and subcontractors supporting assigned engineering projects.Confirm subcontractor scope, deliverables, schedule, commercial authorization, and project expectations prior to execution.Track subcontractor performance against agreed schedule, scope, and deliverable requirements.Coordinate appropriate technical review of subcontractor work by Exo's technical team.Monitor subcontractor invoices, purchase-order consumption, and potential cost or schedule exposure.Identify and address subcontractor performance, quality, schedule, or scope issues early. Communication and Reporting Maintain consistent and transparent communication with clients, Engineering leadership, technical teams, Accounting, Business Development, and other project stakeholders.Provide concise project-health updates covering schedule, financial performance, resource constraints, client status, risks, decisions, and forecasted next steps.Maintain project information within Exo's designated project-management, financial, scheduling, and operational systems.Ensure leadership can understand the health of an assigned project without having to reconstruct status through multiple team members.Participate in project reviews, portfolio reviews, forecasting, capacity planning, and management-by-exception processes.Communicate emerging issues early enough for meaningful corrective action to occur. Project Closure Drive project closure activities upon completion of assigned scope.Confirm completion and transmission of contractual deliverables and required client documentation.Coordinate client acceptance and resolution of outstanding actions.Confirm billing readiness and collaborate with Accounting to resolve outstanding financial or invoicing issues.Reconcile outstanding subcontractor commitments and project costs as appropriate.Document lessons learned, estimating insights, client feedback, execution issues, and other information useful to future projects.Participate in formal project postmortems or closeout reviews when appropriate.Identify follow-on work or additional client needs and communicate opportunities internally. Non-Essential Functions (Duties): Participate in strategic planning, PMO development, process-improvement initiatives, and company meetings to align project execution with broader business objectives. Assist with internal audits or compliance reviews related to project documentation, financial controls, or process adherence. Mentor Project Coordinators, junior Project Managers, or other developing team members when appropriate. Contribute to estimating and proposal development by providing project execution lessons learned, resource assumptions, scheduling considerations, subcontractor inputs, and historical performance information. Support Business Development through client presentations, proposal development, project scoping, and identification of future opportunities when appropriate. Participate in development and continuous improvement of Engineering Services project-management standards, tools, templates, and operating practices. Qualifications and Requirements: Bachelor's degree in business, engineering, project management, construction management, or another relevant discipline; equivalent relevant professional experience may be considered. Project management certification (e.g., PMP, PRINCE2) is an asset.Proven project management experience is preferred.Knowledge of project management principles, methodologies, and tools.Strong organizational and leadership skills.Excellent communication and interpersonal skills.Proficiency in project management software and tools.Analytical and problem-solving abilities.Attention to detail and a commitment to delivering high-quality results.Minimal travel is required for this role (up to 15%) Mental Requirements: Strong written and verbal communication skills for interacting with team members, stakeholders, and clients.
