    Summary of the Position

    The Project Execution Analyst is a mid-level role responsible for helping drive consistent, visible, and timely execution of IT projects, enhancement work, and cross-functional delivery commitments. This position supports the Project Execution function by coordinating work across Software Development, Solutions, SQA, Infrastructure, Database, other IT specialized teams, and Operations / Business stakeholders; maintaining accurate project and Jira data; tracking risks, dependencies, and delivery dates; and ensuring project follow-up is clear before issues become delays.

    This role is expected to operate with solid independence on assigned projects and workstreams while escalating risks, blockers, scope concerns, and date changes through Delivery & Quality leadership. The position requires strong organization, practical judgment, follow-through, and the ability to translate between technical teams and business stakeholders.

    Position Functions

    The position will also be responsible for: 

    • Project Execution Coordination: Coordinate assigned IT projects, enhancements, production-readiness activities, and cross-team workstreams from intake through delivery, ensuring owners, next steps, due dates, and dependencies are clear.
    • Jira Ownership and Data Accuracy: Maintain Jira as the source of truth for assigned work, including accurate issue status, ownership, parent/child relationships, sprint assignment, dependencies, priority, target dates, and supporting documentation.
    • Sprint and Delivery Support: Support sprint planning, commitment review, mid-sprint health checks, and end-of-sprint analysis. Help ensure committed work is progressing early enough for development completion, SQA validation, and movement to UAT or sandbox within the sprint where applicable.
    • Risk, Dependency, and Date Management: Identify risks, blockers, unclear requirements, resource constraints, and date slippage early. Document impacts, propose practical next steps, and escalate when commitments need leadership visibility or decision-making.
    • Stakeholder Communication: Provide concise, accurate updates to technical teams, business partners, PE leadership, and IT leadership. Ensure project status reflects actual execution reality, not just optimistic target dates.
    • Meeting Facilitation and Follow-up: Prepare agendas, capture decisions, document action items, follow up on open items, and ensure meetings result in clear ownership and measurable progress.
    • Documentation and Decision Tracking: Maintain project documentation, delivery notes, requirements clarifications, implementation considerations, decision logs, and release-related artifacts in the appropriate systems such as Jira, Confluence, SharePoint, and Teams.
    • SQA and UAT Coordination: Partner with SQA and business stakeholders to confirm acceptance criteria, testing readiness, UAT expectations, defect handling, and release timing. Help reduce handoff gaps between development, SQA, and business validation.
    • Reporting and Metrics: Prepare project, sprint, risk, and execution reports using Jira, Ai Skills, Domo, or other approved tools. Highlight assigned work, completed work, QA/UAT status, blockers, date movement, and items needing decision or confirmation.
    • Continuous Improvement: Identify process gaps and recommend improvements to Jira workflows, sprint execution, intake practices, project communication, documentation standards, and delivery tracking.


    Knowledge, Skills, and Abilities

    Knowledge:

    • Project Execution Practices: Working knowledge of project coordination, project controls, action tracking, risk management, dependency management, and delivery reporting.
    • Agile and SDLC Practices: Understanding of Agile, Scrum, Kanban, Waterfall, software development life cycle practices, QA testing, UAT, release planning, and production support considerations.
    • IT Delivery Environment: General understanding of software development, infrastructure, database, support, automation, and business systems work sufficient to coordinate across technical and non-technical teams.

    Skills:

    • Communication: Clear written and verbal communication skills, including the ability to summarize complex status, risks, decisions, and tradeoffs for different audiences.
    • Organization: Strong ability to manage multiple workstreams, track details, maintain clean follow-up, and keep commitments from drifting.
    • Analytical Thinking: Ability to review project and sprint data, identify trends or gaps, and turn information into actionable recommendations.
    • Tool Proficiency: Strong working knowledge of Jira and Atlassian products, with the ability to use dashboards, filters, reports, and structured issue data to support execution.
    • Collaboration: Ability to work effectively with software developers, SQA analysts, solutions analysts, infrastructure resources, database resources, and business stakeholders.

    Abilities:

    • Judgment and Escalation: Ability to know when to resolve an issue independently, when to pull teams together, and when a risk or decision must be escalated.
    • Follow-through: Ability to drive open items to closure without waiting for repeated direction.
    • Adaptability: Ability to adjust to shifting priorities while preserving accurate documentation, clear communication, and delivery accountability.

    Additional Skills:

    • Jira Discipline: Ability to reinforce Jira hygiene, identify stale or incomplete tickets, and help teams maintain accurate sprint and project data.
    • Delivery Awareness: Understanding that sprint success includes development completion, SQA test pass, and readiness for UAT or sandbox when applicable.
    • Business Alignment: Ability to understand business priorities, clarify expectations, and ensure the project team is solving the right problem.
    • Conflict Resolution: Ability to facilitate productive discussion when priorities, dates, ownership, or scope are unclear or contested.
    • Process Improvement: Ability to identify recurring delivery issues and recommend practical improvements that improve transparency and accountability.
    • Company-Centric Mindset: Focus on FIG's business needs, stakeholder confidence, delivery credibility, and quality outcomes.


    Minimum Requirements

    • Bachelor's degree in Information Technology, Business Administration, Computer Science, Project Management, or a related field; equivalent practical experience may be considered.
    • Three to five years of experience in project coordination, project execution, business analysis, delivery operations, IT coordination, or a similar technology-focused role.
    • Experience working with Jira or another structured work-tracking system in a software, IT, or operational delivery environment.
    • Working knowledge of Agile, Scrum, Kanban, Waterfall, SDLC, QA, UAT, and release coordination concepts.
    • Strong organizational, analytical, communication, and follow-up skills.
    • Ability to communicate effectively with both technical and non-technical stakeholders.
    • Ability to manage multiple priorities independently while escalating risks and blockers appropriately.


    Preferred Requirements

    • Experience in insurance, financial services, MGA operations, or another regulated business environment.
    • Experience with Atlassian products, including Jira, Confluence, dashboards, filters, boards, and reporting.
    • Experience with Excel, Domo, Ai / ChatGPT / Skills, SharePoint, Teams, or similar collaboration and reporting tools.
    • Familiarity with sprint capacity planning, project status reporting, delivery metrics, and post-sprint analysis.
    • Certification or coursework in project management or Agile delivery, such as CAPM, PMP, CSM, PSM, or equivalent practical training.
    • Experience coordinating QA, UAT, production readiness, release notes, or business validation activities.


    Physical Requirements

    Must be able to sit and work quietly for extended periods of time, operate a computer, and answer and communicate on a telephone.

    Business-casual fast paced multi-tasking office environment.

    Hours of Operations

    This position supports our marketing efforts internationally. This position's work hours are Monday through Friday 9am - 5pm, in a hybrid work environment. Our hybrid environment is 3 days within our business-casual office environment. Of these 3 days in the office, Wednesday and Thursday are required, and employees may work from home the other 2 days. Our employees choose their schedule. This position will require occasional weekend work and after-hours follow-up to ensure that all team members can access and utilize systems.
