Job Overview
Madison Approach Staffing is recruiting for a Project Coordinator for our client, a manufacturing company specializing in rail car production. This role provides comprehensive support to Project Manager and Deputy Project Managers on project management activities including document control, vendor coordination, customer interface, and deliverable tracking. The ideal candidate has rail car industry experience or related manufacturing background, strong organizational skills, excellent attention to detail, and advanced computer proficiency. This is a temp-to-hire opportunity with potential for permanent placement.

Key Responsibilities
  • Provide support to Project Manager and Deputy Project Managers on project management activities
  • Interface with manufacturing partners, U.S. and international vendors, and customers on technical and commercial matters
  • Manage document and drawing control procedures including record drawing maintenance
  • Audit correspondence and drawing database to ensure accuracy of data entry
  • Maintain and follow-up on Open Items tracking between internal departments, vendors, and customers; ensure timely closure
  • Attend project and design review meetings with customers and vendors; prepare and record meeting minutes
  • Support project scheduler with master schedule communication and status updates
  • Prepare and edit project letters, drawing submittals, and documentation prior to customer release
  • Maintain CDRL (Contract Data Requirements List) status and follow-up on pending deliverables
  • Track and manage Engineering Changes, vendor back charges, Field Modification Instructions, and clarification requests
  • Monitor and report invoice status and prepare monthly progress reports for customer approval
Required Skills & Experience
  • Education: Associate or Bachelor's degree preferred
  • Industry Experience: Knowledge of and prior experience in rail car industry or closely related manufacturing sector required
  • Organization: Detail-oriented, organized, and proactive with strong problem-solving ability
  • Computer Skills: Strong computer proficiency including document management and database systems
  • Communication: Excellent verbal and written communication skills
  • Project Management: Ability to track multiple projects, deliverables, and action items simultaneously
  • Documentation: Strong documentation and record-keeping skills
  • Attention to Detail: Meticulous accuracy in managing technical documents and correspondence
Preferred Skills & Experience
  • Bachelor's degree in Engineering or related field
  • Multiple language capabilities
  • Experience with design review processes
  • Drawing management and document control experience
  • Project tracking and status reporting experience
