The Self Perform Mechanical Project Coordinator is the administrative and procurement backbone of the project team, working with Project Managers to coordinate project objectives and procurement so materials, documents, funding workflows, and field communications stay on track. This role owns the purchase request through PO and receipt cycle, maintains the Material Buyout Log (MBL), drives submittal and document control, and keeps field leadership supplied with approved work packages, design updates, and delivery status. Success means reliable buyout tracking, clean documentation, and proactive communication that keeps material and paperwork delays off the work front. This role will be Reno local and will require minimal travel to multiple job sites throughout the Reno Region.
- Work with Project Managers to coordinate project objectives, priorities, and week-to-week support needs across the Reno regional portfolio
- Partner with PMs and Associate Construction PMs on procurement execution from material need identification through PR, PO confirmation, delivery, and receipt, including resolution of back orders and delays with PMs and Field Teams
- Maintain the Material Buyout Log (MBL) as the master procurement and delivery record, including PO releases, ETAs, deliveries, and backorder status
- Maintain document control: distribute design updates, RFI responses, approved documents, work packages, task code lists and Process/track submittals and shop/fabrication drawings from generation through approval and field distribution
- Support work package assembly with BOM tracking, drawing logs, and transmittals under PM direction
- Support Minerva funding documentation with PO, invoice, and quantity backup; assist with labor task entry and change order documentation as directed by the PM
- Track progress and time keeping reporting compliance and escalate missing entries to Foremen and GFs; support trade training scheduling, rental unit logs, and tool calibration tracking as assigned
- 2+ years of experience in construction project coordination, procurement support, document control, or related project administration (mechanical or industrial preferred)
- Demonstrated experience supporting Project Managers on project objectives, schedules, and procurement workflows including capacity/Willingness to learn Tesla's WBS and internal project management processes
- Strong proficiency with Microsoft Office (Excel, Word, Outlook); ability to maintain accurate material logs, invoice tracking, and audit-ready records, understanding of and ability to utilize AI for automation preferred
- Excellent written and verbal communication skills; comfortable working daily with field leaders, vendors, and project management
