    Position Summary

    The Project Coordinator provides administrative and project support to strategic projects and committees focused on quality improvement, evidence-based care, clinical operations, dental informatics and other organizational priorities. Facilitates meetings and workgroups, maintains project and committee documentation, tracks progress towards goals, manages follow-up activities, prepares communications and presentations. Serves as a central point of coordination among leadership, project teams, committees and stakeholders, helping to ensure projects and initiatives remain organized, aligned and on schedule. This role also provides direct administrative and calendaring support to designated leadership team members and assists in coordinating logistics for enterprise-wide meetings, events and organizational activities.

    This is a hybrid position, with a combination of remote and in-office work. Regular onsite presence at the Kaiser Permanente Building in Portland, Oregon is expected based on business and operational needs. Candidates must reside in, or be willing to relocate to the area.

    Education/Experience

    Required:

    • A.A. degree or equivalent combination of education and experience in Business Administration or related field

    Job-related Knowledge, Skills and Abilities

    Required:

    • 3 to 5 years experience supporting projects and/or cross functional teams.

    • Excellent phone skills, note taking, ability to set up and maintain filing systems, meeting, travel and event coordination skills and knowledge.

    • Ability to draft organization-wide communications, research complex topics and provide reports.

    • Strong MS Office suite, including Outlook, Powerpoint, Word and Excel.

    • Solid presentation, and communication skills (written and verbal), and the ability to solve problems in a customer service manner.

    • Ability to work with and maintain confidential information.

    • Demonstrated proficiency of data entry, coordination of multiple projects, ability to organize and report data in useful formats, plan/prepare meeting materials, calendaring, etc.

    • Work with minimal supervisory oversight, independently, and as part of a small team. Ability to track and audit work. Display willingness to make decisions within scope of responsibilities; exhibit sound and accurate judgment and support and explain reasoning for decisions. Include appropriate people in decision-making process and make timely decisions.

    Preferred:

    • Dental terminology

    • Epic Electronic Health Records

    • Experience with Project Management and Process Improvement software (MS Project, Visio, etc.)
