    The Project Coordinator is responsible for providing operational, administrative, and technical support across major and minor building and grounds projects, including new construction, renovations, furniture procurement, signage, and facility repairs. This role focuses on maintaining meticulous data gathering, project tracking, and accurate documentation across all planning, design, and construction activities to keep projects organized and on schedule. Additionally, the Project Coordinator assists the Facilities Management Division with periodic facility audits, project tracking, and preliminary cost estimation.

    The ideal candidate possesses a solid understanding of project workflows, schedule tracking, milestone monitoring, and quality control support. Responsibilities also include facilitating the project close-out process by coordinating inspections, tracking punch list completion, and organizing as-built documents and submittals.

    The salary for this position begins at $50,695.00 and is commensurate with education and experience.

    Principal Accountabilities

    • Stakeholder Coordination: Collect technical information and facilitate seamless communication between end-users, administration, and contract consultants for both major and minor projects
    • Planning & Budgeting Assistance: Support long-range planning efforts, including budget estimation for Capital and Small projects, and assist with planning and reporting documentation for state regulatory boards (e.g., Ohio Department of Higher Education)
    • Records & Document Management: Obtain, review, and process drawings, manuals, and records from architects and contractors to document changes from new construction, renovations, and repairs
    • Project Lifecycle Coordination: Organize project planning, track critical milestones, and monitor cost controls to ensure projects stay on schedule and within budget from initiation to completion
    • Logistics & Relocation: Coordinate the logistics of moving end-users to temporary spaces during construction and facilitate their final relocation back into the newly renovated areas
    • Design & Consultant Oversight: Coordinate and review the work of external consultant architects and engineers, ensuring their designs, specifications, and drawings meet institutional standards
    • Other Duties: Perform other related duties as assigned to support the goals of the facilities department

    Requirements

    • Minimum of a high school diploma or equivalent required

    • Associate's degree in field related to construction, engineering, or architecture preferred

    • Minimum of two (2) years of related experience required

    • Project management skills and knowledge of construction standards, procedures, and materials required

    • Strong communication, interpersonal, and organizational skills required

    • Ability to manage a variety of assignments with minimal supervision required

    • Knowledge of word processing, spreadsheets, and project management software preferred

    • Experience in project management or project coordination preferred

    • Experience in an educational or institutional setting preferred
