    Description

    Provides oversight for the administration and technical direction to single or multiple projects. Acts as a liaison with Contractors and Vendors. Monitors construction and financial activities to ensure that the project is constructed in accordance with design, budget, and schedule through monitoring paperwork, meetings and strong communication techniques.

    ESSENTIAL FUNCTIONS:

    • Assists project team members and leaders to ensure projects are carried out to plan, through data compilation, base-level analysis, report generation and project tracking and communication. Drafts reports that include schedules, tasks, deliverables and budgets
    • Notifies project participants on timelines and completion dates.
    • Organizes and publishes project-related documentation in various sources.
    • Assists with tracking costs and performance, service levels and other metrics required to ensure project goals and objectives are met.
    • Assists with day-to-day planning, development, and implementation activity.
    • Reviews and ensures RFI log is current. Follows up to ensure record drawings and as-built are updated and maintained.
    • Accounts for additional costs and RFI's by reviewing thoroughly the scopes of work
    • Identifies schedule risks and plans of action.
    • Compiles quotations and prepares change order request.
    • Processes requests for information (RFI) with the Director's input by forwarding the information to the appropriate party.
    • Ensures all warranty issues are identified, documented, and resolved in a timely manner.
    • Coordinates with the project team to develop the meeting agenda, maintain meeting minutes, and distribute the meeting notes, with all activities being reviewed by the Project Lead, Projects Manager or Facilities Director.
    • Ensuresthat the project site and construction activities are being constantly documented
    • Ensures project closeout packages are complete and include O&M's, warranties and as-builts.
    • Performs other Administrative Assistant duties
    • Performs other duties as requested
    • 1 years of related experience in Construction Management or Project Management preferred
    • 3 years of related administration experience
    • Bachelor's degree in Engineering, or closely related field; equivalent combination of education and experience may substitute
    • Certified as a Facility Manager (FM), Certified Healthcare Faculties Manager (CHFM) or Project Management Professional (PMP) preferred.
