Project Coordinator I

Pay Rate: $25.00–$32.65/hour
Schedule: Monday–Friday | 7:00 AM – 3:30 PM
Location: San Diego, CA (Onsite)
Duration: 2-Year Contract

Position Summary

We are seeking a detail-oriented Project Coordinator I to provide administrative and project support for a fast-paced team. This role is responsible for coordinating meetings, maintaining project documentation, updating project plans, preparing reports and presentations, supporting office operations, and serving as a liaison for facilities and administrative functions. The ideal candidate is highly organized, proficient in Microsoft Office, and able to manage multiple priorities while maintaining accuracy and professionalism.

Key Responsibilities

Project Coordination

  • Support Project Managers with meeting scheduling, project documentation, and project plan updates.
  • Assist with collecting, validating, and organizing project information.
  • Prepare project status reports, presentations, and meeting materials.
  • Coordinate project communications and training activities.
  • Maintain accurate project records and documentation.

Administrative Support

  • Provide day-to-day administrative support to ensure efficient office operations.
  • Prepare, edit, and distribute reports, correspondence, and other business documents.
  • Perform accurate data entry and maintain electronic and paper filing systems.
  • Manage calendars, schedules, and departmental documentation.
  • Handle incoming calls and direct inquiries appropriately.

Office & Facilities Coordination

  • Receive, sort, and distribute incoming mail; prepare outgoing mail and packages.
  • Maintain office supply inventory and coordinate reordering as needed.
  • Serve as the primary contact for facilities-related requests, including maintenance, cleaning, and office services.
  • Coordinate special mailings and maintain accurate distribution lists.
  • Identify opportunities to improve office workflows and administrative processes.

Travel & Field Support

  • Travel independently to meetings, company locations, and field sites as needed.
  • Maintain safe driving practices and comply with all traffic laws while conducting company business.

Required Qualifications

  • High School Diploma or equivalent required.
  • 0–2 years of administrative, project coordination, or office support experience.
  • Strong written and verbal communication skills.
  • Excellent organizational, multitasking, and time management abilities.
  • Proficiency with Microsoft Project, Visio, Excel, Word, and other Microsoft Office applications.
  • Ability to work independently while supporting multiple projects and priorities.
  • Valid driver's license with the ability to travel locally as required.
