Overview:

TRC is seeking a highly organized, proactive, and detail-oriented Project Coordinator to support our Operations team. This position plays a critical role in ensuring the smooth day-to-day execution of departmental and project-related administrative functions across multiple programs.

The ideal candidate thrives in a fast-paced environment, enjoys balancing a variety of responsibilities, and takes pride in keeping teams organized, informed, and operating efficiently. This role requires exceptional communication skills, strong organizational abilities, and the flexibility to adapt to changing priorities.

This is a hybrid position, with an expectation of working from the office Tuesday through Thursday, along with additional in-office support as business needs dictate.

Responsibilities:
  • Department & Administrative Support

    • Coordinate office and departmental administrative activities.
    • Manage promotional supply ordering and inventory.
    • Coordinate shipping, receiving, and mailing of project materials.
    • Assist with planning and coordinating team meetings, workshops, and company events.
    • Prepare and format resumes, presentations, reports, and other professional documents.
    • Maintain department templates, organizational documents, and shared resources.
    • Coordinate employee licensing, certifications, renewals, and tracking.
    • Support onboarding activities for new employees, including scheduling, coordination, and preparation of onboarding materials.
    • Assist leadership with special projects and other administrative initiatives.
    • Assist with expense report preparation and reconciliation.

    Project Support

    • Review and monitor employee timesheets for accuracy and timely submission.
    • Prepare meeting agendas, presentations, meeting minutes, and action item trackers.
    • Coordinate recurring project meetings and calendars.
    • Support project documentation, filing, and record management.
    • Support mail merges / Document mailings / document reviews
    • Prepare project communications and distribute updates to project teams, including reminders related to holidays, training requirements, expenses, deadlines, and other program announcements.
    • Assist project managers with administrative coordination to support successful project execution.
Qualifications:
  • Required

    • Associate's degree or equivalent professional experience preferred.
    • 2+ years of administrative, project coordination, executive support, or operations support experience.
    • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
    • Excellent written and verbal communication skills.
    • High attention to detail and commitment to quality.
    • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams and SharePoint.
    • Ability to work independently while collaborating effectively with multiple teams.
    • Professional, customer-service-oriented approach with a positive attitude.

    Preferred

    • Experience supporting engineering, utility, consulting, construction, or professional services organizations.
    • Experience coordinating meetings, events, or employee onboarding.
    • Experience formatting resumes, proposals, or client-facing documents.
    • Familiarity with expense management and timesheet systems.

Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.

 

Other Compensation: Employee may be eligible for participation in the Company’s annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
