Position Overview
Veracity Electric is seeking an experienced Project Coordinator to support the coordination and administration of commercial electrical construction projects from project startup through closeout.
This role serves as an important connection between Project Managers, Field Leadership, Estimating, Purchasing, Accounting, Vendors, General Contractors, and Clients to help ensure projects remain organized, financially accurate, properly documented, and on schedule.
The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced commercial construction environment.
As a Project Coordinator, You Will:
Project Coordination
- Coordinate administrative and project support activities for multiple commercial electrical construction projects simultaneously.
- Support Project Managers throughout all phases of project execution.
- Maintain consistent project coordination and administration processes.
- Ensure project documentation is accurate, organized, current, and completed on schedule.
- Assist with improving project workflows and operational processes.
Coordinate communication and follow-up between internal departments, field teams, vendors, subcontractors, and project stakeholders.
Project Documentation
Maintain and manage project documentation including:
- Requests for Information (RFIs)Submittals
- Shop Drawings
- Change Orders
- Change Order Requests (CORs)
- Meeting Minutes
- Drawing Logs
- Specification Logs
- Project Correspondence
- Material Tracking Logs
- Procurement Logs
- Closeout Documentation
- Contracts
- Project File
Financial & Project Controls
- Assist with project budgets and cost tracking.Support monthly cost forecasting and financial reporting.
- Create and manage purchase orders.
- Monitor project cost codes and job cost allocations.
- Track invoices and vendor billing.
- Assist with change order pricing documentation.
- Maintain accurate project financial records.
- Support billing and project reporting activities.
- Procurement & Material Coordination
- Coordinate the purchasing of electrical materials and equipment.
- Track long-lead items and delivery schedules.
- Communicate with vendors regarding procurement status.
- Coordinate material deliveries with field operations.
- Assist with resolving material shortages and procurement issues.
- Monitor rental equipment and return processes.
- Vendor & Subcontractor Coordination
- Maintain subcontractor and vendor documentation including:
- Contracts
- Certificates of Insurance (COIs)
- W-9 Forms
- Vendor Setup Documents
- Compliance Documentation
- Purchase Documentation
- Lien Waivers
- Field Operations Support
- Partner with Project Managers, Superintendents, and Foremen to support project execution.
- Coordinate field documentation requests.
- Support manpower planning and project scheduling activities.
- Assist with project meetings, meeting documentation, and communication.
- Visit project sites as needed to support project coordination and execution.
Project Closeout
Coordinate closeout documentation including:
- As-Built Drawings O&M Manuals
- Warranty Documentation
- Punch Lists
- Owner Turnover Packages
- Final Project Records
- 3–5 years of experience in Project Engineering, Project Coordination, Construction Administration, or a related construction support role.
- Experience supporting commercial construction projects.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and competing priorities.
- Strong problem-solving and decision-making abilities.
- High attention to detail and accuracy.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Strong follow-through and ability to track open items through completion.
- Bachelor's Degree in Construction Management, Engineering, Business, or a related field.
- Commercial electrical construction experience strongly preferred.
- Knowledge of construction budgeting and cost tracking.
- Experience supporting Project Managers throughout the construction lifecycle.
- Familiarity with procurement and material management.
- Experience coordinating documentation and communication across multiple active projects.
