Description

A design-build energy services construction firm is hiring a Project Coordinator for its Kansas City operations team. The Project Coordinator provides administrative and operational support to project managers, construction managers, and project engineers across ESCO, infrastructure, and engineering markets. This is a full-time, on-site role reporting to the Director of Construction.

Key Responsibilities - Project Coordinator

  • Manage project documentation controls including subcontracts, change orders, purchase orders, and submittals.
  • Process subcontractor pay applications and vendor invoices, finalize client billings, and resolve payment inquiries.
  • Develop, track, and process prevailing wage documentation including certified payroll and project exemption certificates.
  • Maintain digital drawings, standard operating procedures, and vendor compliance records for audit readiness.
  • Prepare substantial completion documents and assemble final project closeout packages for clients.

Qualifications - Project Coordinator

  • Bachelor's degree or 5 or more years of relevant work experience.
  • Minimum of 3 years of experience in construction or a related industry.
  • Proficiency in Microsoft Office and Bluebeam.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Strong analytical and problem-solving ability with high attention to detail.

Preferred Qualifications - Construction Project Coordinator

  • Experience with certified payroll and prevailing wage reporting.
  • Familiarity with subcontractor pay applications and AIA-style billing.
  • Background supporting design-build or energy services projects.
  • Experience coordinating across multiple business units or markets.
  • Working knowledge of construction document control workflows.

Physical Requirements - Project Coordinator

  • Primarily seated office work with extended computer and phone use.
  • Occasional lifting of up to 20 pounds for files, plans, and closeout binders.
  • On-site attendance at a Kansas City office; day shift, Monday through Friday.
  • Occasional attendance at project meetings as requested.
  • No regular overnight travel anticipated.
