Project Assistant
Location: Sweetwater, TX

We are seeking a Project Assistant to provide administrative and project coordination support to project managers and project teams. Key Responsibilities
- Provide administrative support for engineering and construction projects.
- Organize, maintain, and update project files, documentation, and communication records.
- Perform project-related data entry and maintain accurate project information.
- Track project status and assist with preparing monthly progress reports.
- Maintain project tracking systems, contact lists, calendars, and project execution documentation.
- Update engineering documentation, record copies, and project changes.
- Research and compile information to support project-related inquiries.
- Record and distribute meeting minutes for project team meetings.
- Answer incoming calls and direct inquiries appropriately.
- Sort and distribute incoming mail.
- Collect, process, and distribute client invoices and billing documentation.
- Prepare memos, correspondence, reports, and other project documents.
- Coordinate travel arrangements and internal support services for project personnel.
- Prepare outgoing mail, email distributions, shipping labels, and fax communications.
- Schedule conference rooms and coordinate meetings, presentations, interviews, and vendor visits, including room setup and cleanup.
- Assist with scheduling client interviews, presentations, and project meetings.
- Order and maintain office and project supplies.
- Provide general clerical support for multiple projects.
- Perform additional administrative duties as assigned.
- Follow all company policies, procedures, and safety standards.
Qualifications
- High School Diploma or GED required.
- Relevant office or administrative experience may be substituted for formal education requirements.
- Previous office, clerical, or project administrative experience preferred.
- Proficiency with Microsoft Office Suite, including:
- Microsoft Word
- Microsoft Excel
- Microsoft Access
- Microsoft PowerPoint
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication skills.
- Ability to work independently while supporting multiple project teams in a deadline-driven environment.
- Strong attention to detail and commitment to accuracy.
Preferred Qualifications
- Experience supporting engineering, construction, or industrial projects.
- Experience maintaining project documentation and tracking systems.
- Ability to prioritize multiple assignments while meeting deadlines.
