Job Summary:
The Project Assistant supports engineering and construction projects by providing administrative and coordination support to project managers and teams. This role ensures project documentation, communication, and tracking systems are maintained effectively while supporting daily operational needs.
Key Responsibilities:
Provide general administrative support for company projects
Organize and maintain project files, filing systems, and communications
Perform data entry and maintain project tracking systems
Track project status and produce monthly progress reports
Update engineering documentation and record changes
Provide information and research to support project-related inquiries
Record meeting minutes for project teams
Answer phones and direct calls appropriately
Sort incoming mail and manage outgoing correspondence
Collect and distribute client bills and invoices
Prepare memos, reports, and other documentation
Coordinate travel arrangements and internal services
Schedule meetings, presentations, and interviews including logistics setup
Reserve conference rooms and coordinate client/vendor meetings
Order and maintain office and project supplies
Maintain project calendars, rosters, and contact lists
Assist with clerical and administrative project needs
Ensure compliance with company policies and standards
Required Experience:
High School Diploma or GED (or equivalent experience)
Experience in administrative or clerical roles
Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint)
Strong organizational and multitasking abilities
Excellent written and verbal communication skills
Ability to work independently and in a team environment
Detail-oriented with ability to manage multiple priorities
Nice-to-Have Experience:
Experience supporting engineering or construction projects
Background in coordination, logistics, or customer-facing roles
Experience working in fast-paced environments
Familiarity with project tracking or reporting systems
