Description:

The Project Administrator provides administrative support to the jobsite project team.  Responsible to ensure smooth day to day activities on the project site, including site office equipment and supply management and to assist with document administration and tracking of all associated construction compliances. This position may be located at a regional office OR at a construction project site and candidate must have the flexibility to change construction projects as needed.

• Act as liaison for the project; respond to requests, answer the phone and greet visitors (if onsite)
• Maintain and Organize project electronic folders for consistency
• Assist Superintendent with union notifications per union agreements
• Assist with maintaining project directory
• Schedule and coordinate team meeting (book room, order food, send meeting invites)
• Assist with training/offsite inspection travel arrangements
• Coordinate with Jobsite Safety Coordinator/Superintendent to process new union hires (submit new hire package to payroll)
• Help maintain equipment logs as required by contract
• Assist with scheduling the return of all leased/rented equipment (internal and external)
• Aid project with any site security / badging or other logistic items as needed
• Maintain the field office services and supplies including office supplies, office equipment and employee supplies
• Run project reports as required for the project team and for record purposes
• Track and maintain up to date logs for Subcontract compliance as required, including but not limited to, insurance, and any other project-specific needs
• Ensure current logs are available for use by the FOC and Project team  
• Collect union payroll hours weekly from the Superintendent or designee
• Aid the Project FOC with completing and tracking of employee and equipment transfers
• Assemble and file necessary documentation for archiving along with the project team at the end of the project

  Requirements:

• High school diploma or equivalent required.
• Construction industry and office experience preferred.
• Ability to effectively communicate and participate actively in a critical role as part of a team environment
• Manage multiple tasks, produce quality work on time-sensitive deadlines while remaining flexible and able to pivot between tasks as needed.
• Ability to establish and maintain relationships with key stakeholders in other Departments and projects to assist in resolving mutual issues or to develop improved processes.
• Excel proficiency and use of overall MS Office Suite.
• Project Management Software (Procore), JD Edwards E1 (Financial) & Bluebeam pdf experience are helpful.
• Egnyte or similar cloud platform content sharing experience is preferred.
• Adept in learning new software quickly and able to navigate and use to review, track, and upload various documents
