    Job Title: Program Specialist (Junior-Level role)

    Location: Atlanta, GA (4 days in office, 1 day remote)

    About the role

    • The Program Specialist supports the execution and day-to-day operations of strategic initiatives and enterprise programs. This role works closely with the Program Operations Lead, as well as Legal, Compliance, IT, Data, and business stakeholders, to help coordinate project activities, maintain governance and operational processes, support stakeholder engagement efforts, and drive successful delivery of key business objectives.
    • The Project Specialist serves as a central point of coordination across multiple workstreams, ensuring activities are documented, tracked, communicated, and executed effectively. This role supports planning, reporting, communications, process improvement, change management, and operational execution while helping to drive consistency and accountability across stakeholders. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. They are also an effective communicator and change champion, capable of translating complex retention requirements into clear guidance, driving stakeholder adoption, and influencing process improvements across diverse teams.

    Responsibilities

    • Support day-to-day project and program activities, ensuring tasks, deliverables, milestones, and dependencies are tracked and communicated effectively.
    • Coordinate intake, assessment, and tracking of project requests, stakeholder actions, and operational activities.
    • Run core lifecycle operations for Records Management program, including records archival, transfer, retrieval, and approved disposition execution, with complete and traceable documentation.
    • Conduct quality reviews of project documentation, reporting, and operational processes to ensure accuracy and consistency.
    • Maintain audit-ready records of approvals, decisions, actions, communications, and supporting project documentation.
    • Assist with annual planning activities, operational reviews, assessments, and continuous improvement initiatives.
    • Support program change management activities by updating documentation, preparing inputs, tracking requests, and coordinating implementation steps for approved changes.
    • Assist with the annual program operations cadences by gathering information, maintaining documentation, and coordinating follow-ups with business, Legal, Compliance, and regional stakeholders.
    • Help identify and escalate conflicts or gaps involving program requirements, classifications, legal holds, metadata, or lifecycle actions to the appropriate stakeholders.
    • Provide clear status updates, follow-up actions, and written communication to support cross-functional coordination and timely issue resolution.
    • Support continuous improvement of retention operations, documentation standards, and execution practices within the program function.

    Requirements

    • Bachelor's degree in a relevant field (e.g., Law, Legal Studies, Information Management, Library Science, Business Administration, Compliance, or related) or equivalent experience.
    • 4+ years of experience in records and information management, legal operations, retention operations, information governance, compliance operations, or related work in a large, complex organization.
    • Working knowledge of retention schedules, records classification and labeling, and lifecycle and disposition operations.
    • Experience coordinating with Legal, Compliance, business, and technology stakeholders on records or retention-related matters.
    • Strong attention to detail and quality control, with the ability to maintain accurate documentation, traceability, and governance records.
    • Strong written and verbal communication skills, including follow-up, issue tracking, stakeholder coordination, and status reporting.
    • Ability to manage multiple operational requests and workstreams in a structured, deadline-driven environment.
    • Familiarity with legal hold impacts, exception handling, and escalation processes related to retention and lifecycle management.
    • Experience working with metadata, classification, retention mapping, or other records-related system inputs is preferred.
    • Ability to work effectively in a global environment and support retention processes across regions and jurisdictions.
    • Insurance industry experience is preferred, particularly exposure to retention schedules, regulated records, or lifecycle controls in a complex enterprise setting.
