    Position Overview

    The Program Specialist provides administrative support for student services and Funeral Service Education program activities, including student assistance, records maintenance, laboratory coordination, compliance documentation, data reporting, purchasing support, and customer service. This position supports daily program operations by coordinating schedules, resources, communications, and assigned activities in accordance with College policies and procedures.

    What you will be doing

    • Provides support for student services by assisting prospective and current students with admissions, registration, and referrals to appropriate College resources
    • Maintains student records, databases, and program files; prepares correspondence, reports, meeting materials, and other documentation in accordance with College policies and procedures
    • Assists with monitoring student academic progress, attendance, and program milestones by maintaining records, generating reports, communicating with students, and referring at-risk students to appropriate faculty or College support services
    • Maintains Funeral Service Education laboratories and instructional spaces by tracking inventory, maintaining equipment, assisting with procurement, ensuring compliance with safety procedures, coordinating laboratory schedules, and preparing facilities and materials for instructional use
    • Maintains an inventory of supplies through proper and safe storage, repair, and replacement
    • Assists in maintaining compliance with College policies, laboratory safety procedures, OSHA requirements, accreditation standards, and applicable federal, state, and local regulations by maintaining required documentation, records, and safety logs
    • Collects, enters, maintains, and prepares routine reports on enrollment, retention, licensure examination results, employment outcomes, and other program data
    • Assists with coordinating student recruitment, orientations, information sessions, advisory committee meetings, career events, and other program activities
    • Maintains communication with funeral homes, cemeteries, crematories, vendors, employers, and community partners to coordinate student clinical experiences, internships, and other program-related activities as directed
    • Processes purchasing requests, maintains inventory records, receives supplies and equipment, reconciles invoices, and assists with budget tracking in accordance with College purchasing procedures
    • Provides customer service by responding to inquiries from students, faculty, staff, employers, and the public, resolving routine issues, and referring complex matters to appropriate personnel
    • Provides guidance to student assistants and work-study employees
    • Performs other duties as assigned

    What you need to succeed

    • Bachelor's degree from a regionally accredited institution in an appropriate related field and three (3) years of experience in student services, program coordination, laboratory operations, or higher education administration
    • All degrees must be from a regionally accredited institution
    • Knowledge and understanding of College organization, goals and objectives, and policies and procedures
    • Knowledge of student services processes, academic support resources, and customer service practices in a higher education environment
    • Knowledge of OSHA hazardous materials/waste use, storage, and disposal compliance
    • Knowledge of funeral service regulations, standards, and applicable federal, state, and local laws governing funeral service education and practice
    • Working knowledge of the American Board of Funeral Service Education (ABFSE) accreditation standards and documentation requirements
    • Possess excellent interpersonal, organizational and communication skills (verbal and written)
    • Ability to read, analyze, and interpret data for the purpose of reporting, while maintaining confidentiality
    • Skill in organizing work, maintaining records, and coordinating multiple assignments while meeting established deadlines

    Knowledge of Microsoft Office Suite and basic research methodology

    • Ability to accurately maintain records, files, inventories, and confidential information in accordance with College policies and applicable regulations
    • Ability to identify student concerns, provide appropriate information and referrals, and escalate complex issues to appropriate personnel when necessary
    • Ability to work a flexible schedule which may include evening or weekend assignments
    • Ability to work well with students, faculty and staff
