    Duties and Responsibilities (*denotes essential functions):

    • *Facilitates Hawaiian and Pacific Collection circulation and stacks management activities.
    • *Maintains clear, regular communication with librarians and staff to ensure high-quality, consistent services.
    • *Develops and maintains an effective, collegial, service-oriented team environment within the Hawaiian and Pacific Collections Department.
    • *Oversees the recruitment, training, emergency preparation, working supervision, and retention of circulation staff and students, and manages related budgets and timekeeping records.
    • *Hires, trains, schedules, supervises, approves timesheets, corrects and recommends dismissal of student employees as necessary to support all functions of department operations.
    • Conducts internal training and informational sessions, develops and writes resource materials and internal documentation on established policies and procedures for department students and staff.
    • Prepares and analyzes basic financial, circulation, statistical reports, including the department student budget.
    • Apprises and advises the Department Chair of budget and any anticipated budgetary considerations.
    • *Works outside of normal business hours including nights and weekends in alignment with library operations.
    • Other duties as assigned.

    Minimum Qualifications

    Education and Professional Work Experience

    • Possession of a baccalaureate degree in arts, social science, arts and humanities, science, education, business, Hawaiian Studies, Hawaiian Language, or Pacific Islands Studies or related field and 1 year(s) of progressively responsible professional experience with responsibilities for office administration or customer service; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

    Knowledge, Skills and Abilities

    • Functional knowledge of principles, practices and techniques in the area of office administration or customer service demonstrated by knowledge, understanding and ability to apply concepts, terminology.
    • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with office administration or customer service.
    • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of office administration or customer service.
    • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
    • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
    • Demonstrated ability to operate a personal computer, apply word processing and spreadsheet software, and collaborative web applications.

    Supplemental Minimum Qualifications

    • Ability to work nights and weekends.
    • Ability to manage work priorities and projects, and collaborate effectively within a team environment.

    Desirable Qualifications

    • Attention to detail and accuracy.
    • Knowledge of Hawaiian and/or Pacific Islands topics.
    • Familiarity with Hawaiian language and/or other Pacific Islands languages.
    • Demonstrated ability and willingness to learn and to take on new challenges.
    • Familiarity with the University of Hawaii at Manoa Library systems, policies, and procedures.
    • Considerable working knowledge using Microsoft Office applications and Google Docs.
    • Considerable working knowledge and demonstrated ability to use databases and/or spreadsheets. to prepare reports and analysis to be used by the department to make informed decisions.
    • Ability to prepare and maintain comprehensive documentation, reports and training materials for circulation and stacks management.
