Astrion has an exciting opportunity for a Project Management Support Specialist for the 96 CTG Front Office Group at Eglin AFB, FL. 

 

 

REQUIRED QUALIFICATIONS / SKILLS

• Bachelor’s degree in an applicable field and a minimum of 3 years of applicable experience is required. Additional experience may be substituted for education. 
• Active DOD Secret Security Clearance. 
• Working knowledge of Microsoft Office applications.
• Excellent communication and customer interface skills required.
• Manage multiple tasks simultaneously and establish priorities to meet customer requirements.
• Administrative or project management experience in a DOD environment is required.
• Excellent analytical skills with attention to detail.
• Good organization, decision making, and verbal and written communication skills.
• Ability to solve problems and develop solutions within an ambiguous environment.
• Ability to work effectively in small and large team settings.
• Skilled at prioritization and multi-tasking.

 

DESIRED QUALIFICATIONS / SKILLS

• Experience providing administrative or project management support for senior level Air Force management.
• Recent experience in Air Force personnel administrative duties at the Air Force squadron level or above.
• Prior SNCO (E-7 or higher) or Commissioned Officer (O-3 or higher)
• Familiarity with USAF test operations.

 

RESPONSIBILITIES

• Manage and process military personnel actions in Air Force personnel systems including Military Personnel Data System (MilPDS), Case Management System (CMS), Defense Travel System (DTS), MyFSS, LeaveWeb and others)
• Develop administrative and personnel processes and instruct squadron level administrative personnel on requirements and processes.  Lead administrative working groups and meetings.
• Conduct projects and studies that require analysis and evaluation of programs effectiveness, including recommending methods of improvement.
• Maintain, assign responsibility and track suspenses for items such as higher headquarter taskings, team meetings, training, and status reports. 
• Confer with the Commander in planning daily schedules, reminding him/her of commitments made, matters which need attention and when necessary, assists in rearranging the schedule, cancels engagements, or makes other adjustments, ensuring all persons affected by such changes are notified. Arranges conference calls and initiates and ensures that all parties are present on call.
• Compose replies to correspondence, types a wide variety of materials including, but not limited to memoranda, reports, letters, and tables on own initiative from oral directions or rough notes.
• Maintains records management program and tracking system. Responsible for determining and incorporating all material into the official records and for developing, organizing, and maintaining the electronic folders and the reference material in these folders.  Work closely with subject matter experts to stay up to date on issues to obtain accurate information for classifying and indexing records.
• Coordinate extensively with leadership, peers, and external organizations in the performance of responsibilities.  Maintain organization charts, recall rosters, spreadsheets, and other documentation. 
• Maintain Air Force SharePoint sites information.
• In process or out process employees.
• Use judgment in researching regulations and determining the relationship between guidelines and organizational efficiency and effectiveness.
• Maintain contact with other organizations, government agencies, managers, and contractors to exchange ideas and remain current on developments in area or field of responsibility.
• Manage day-to-day administrative functions of organizational and personnel programs; advise and assist management with processes.
